The role:
The Talent Acquisition Assistant will work closely with 3 Senior Recruiters, candidates, hiring managers, and other HCD (Human Capital Development) team members in support of the business’ hiring needs. In line with our vision to offer an outstanding candidate and manager experience, the Talent Acquisition Assistant will provide day-to-day administrative and operational support across all hiring activities. This is a high-volume and fast-paced role where you will touch the lives of hundreds of candidates and play an integral role in the hiring process.
This is a 1-year temporary position.
What you will do:
- Posting Job Descriptions in the Applicant Tracking System (ATS) and various job boards for EMEA
- Scheduling/Coordinating interviews for EMEA, ie phone interviews, room bookings, Microsoft Teams Interviews (including testing call connections with candidates)
- Responding to all scheduling queries/ requests for amendment from candidates and Hiring Managers
- Liaising with agencies to coordinate interviews
- ATS administration, data input, data integrity, training for ad hoc users
- Responding to passive candidate queries, LinkedIn messages and open applications for EMEA
- Reporting weekly, monthly, quarterly, yearly & ad hoc. Tracking sources, time to fill, number of candidates etc.
- Handling all candidate correspondence relating to open applications across EMEA
- Acts as the go to person for all general recruitment administrative queries
- Recruitment of interns in the Netherlands, France and Germany, proactive liaison work with local universities
- Contact person for LinkedIn/Indeed (other job boards) on technical and posting issues
- Managing Recruitment Invoices & Expenses (travel reimbursement) for EMEA
- Managing full administrative GDPR process including purging candidate data and monitoring GDPR training attendance
- Work on ad hoc projects
What you will need:
- University degree in any discipline
- Excellent written and spoken knowledge of English (other European languages, eg German, Dutch desirable but not essential)
- At least 6 months+ solid office experience, ideally in a role which required excellent organizational skills (eg scheduling meetings or interviews and using spreadsheets) and telephone or virtual contact with external customers or applicants
- Sound MS Office skills (Word, Excel, Powerpoint, Outlook)
- Interest in digital tools and curiosity to challenge the status quo
- Experience with applicant tracking systems (ie ICIMS) preferred but not essential
- Self-starter with a genuine interest and curiosity in pursuing a career in Talent Acquisition
- Strong organizational and administrative skills
