Job Details
We are seeking a full time office assistant to support the leadership of our team. The successful candidate will provide administrative support and assistance across various activities, with a primary role of supporting the President of the Organization.
The Management Office is run as a family office, with business casual dress code and a goal for being a place where each person is relied upon to help make an impact.
We are a family owned and operated business that emphasizes integrity, compassion and a commitment to excellence. The Office Assistant will support the President, who is a second generation family member and recently assumed the role of President.
The Office Assistant must be organized, competent, and bring a positive, problem solving attitude to work. They must have the ability to take direction and then complete projects independently and efficiently.
Problem solving, as well as social intelligence, is a must. The Office Assistant will be welcomed as a member of the team, and as such, must be self-motivated and ready to contribute.
The Office supports various ventures and therefore has both moments of quiet and moments of fast paced activity. The Office Assistant will be expected to keep pace and maintain a positive attitude through the various phases.
The ability to maintain confidentiality is a must.
Knowledge, Skills & Abilities required :
Strong organizational and time management skills
Social intelligence and the ability to read situations and provide support where needed
Strong interpersonal and communication skills, including the ability to send emails and make phone calls on behalf of the President
Ability to provide support as a member of a team, and also take initiative and work independently when appropriate
Ability to research options and present findings in a professional and collaborative manner
Ability to self-manage schedule, prioritize topics (with guidance), and complete tasks that vary on topic with attention to detail.
Strong computer skills with proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams, SharePoint) and QuickBooks is preferred
Strong administrative skills including accurate note taking, recalling documents, and office protocols
Ability to understand complex topics and concepts
Desire to work in a multi-faceted organization where each day is fun and different
Ability to demonstrate and value discretion and confidentiality
Bookkeeping Experience and Skills are preferred
Specific Job Responsibilities include but are not limited to :
Organize and Maintain Filing Systems (both electronic and paper)
Complete Administrative Tasks for Leadership from the Office location while the Leadership personnel is at other locations
Oversee and manage certain projects from idea conception through execution and completion
Take accurate meeting minutes for record keeping.
Track deadlines and list of important objectives and create and issue follow up reminders
Print and Organize s for review; communicate decisions to key team Members in a professional manner
Maintain executive level appointment and meeting calendar and prepare necessary agendas, s, and data collection.
Reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information with a focus on detail and presentation
Maintain excellent communication with executive and all team members
Education and Experience Requirements :
Bachelor’s degree preferred, but not required
Three to five years of administrative or business experience preferred, but not required
Individuals who lack the above, but who have a strong organizational and business acumen and seek to improve their skillsets through immersive experience are invited to apply
