Responsibilities/Requirements:

In this role you will be responsible for the delegation of West Coast regional events while supporting the vision and strategy of the brands special event programs. You will work closely with management, assisting with larger image events while developing and maintaining relationships with our headquarters office and regional store directors and vendors. You will also manage invoice and budgeting for all delegated events and serve as mentor for department Coordinator.

About the role-

• Work with headquarters and management team on concepts and strategies. Plan and execute all regional events, press events and corporate events from start to finish while providing support during press events, RTW events and other small-scale projects.
• Handle all on-site event execution, coordination, and external vendor support (includes travel).
• Manage event budget, specifically individual regional budgets.
• Manage event invitation process from design stage to mail out for all delegated events.
• Create event timelines and logistical charts to streamline event processes and keep all affiliated parties informed.
• Partner with manager to review event status and communicate event updates on a regular basis.
• Delegate necessary tasks to the special Events Coordinator and manage accordingly.
• Liaise among Paris office, Store Directors, Visual Merchandising department and other various vendors to coordinate regional events.
• Negotiate most vendor proposals (i.e. caterers, lighting, sound, décor, etc.) and act as a regional vendor expert.
• Review contracts and work with Legal on applicable agreements, insurance needs and NDAs
• Brainstorm, strategize and propose new event concepts and plans as needed.

Qualifications-

• 3-5 years’ experience, in similar role and/or environment.
• Strong understanding of budgeting and ability to exercise appropriate judgement
• High level of attention to detail
• Excellent organizational skills
• Possess strong work ethic with ability to be flexible and proficient in high-stress situations
• Creative problem-solver with strong communications skills
• Self-motivator with eagerness to learn in a fast-paced environment
• Proven ability to work independently
• Experience with hands-on event planning and logistics management
• Possess strong work ethic with strong time management abilities
