As our Talent & Resourcing Coordinator, you will play a crucial role in providing administrative, creative and organisational support sourcing inclusive production teams for MultiStory Media. Our passionate, hard working team ensures that we source the best available editorial and production talent, providing a first rate talent function throughout the recruiting and hiring process using a variety of resourcing methods.

To support the talent and resourcing executive/managers in the sourcing of the best available editorial and production talent providing a first rate administrative and coordination support function throughout the recruitment and hiring processes.
This role will provide operational support to the MultiStory Media talent team (North/South) with line management reporting to the Talent & Resourcing Executive North.
Key responsibilities:
Recruitment/Talent Selection
Coordinate the end to end hiring process appropriate to each contract type and in line with ITV’s policies and procedures ensuring both the hiring managers and candidate’s experience of ITV is a positive one
Embrace ITV’s diversity and inclusion agenda and work collaboratively and productively with internal colleagues and key external 3rd parties to ensure our programmes teams are fully representative
Partner with production management and editorial colleagues, where necessary, to understand resourcing needs and offer solutions proactively
Provide management information to the talent and resourcing exec on job posts, timescales and volumes
Freelance
Manage the updating and distribution of overall label production schedule so that the talent executive/managers are kept fully up to date on future shows and production needs (non scripted only)
Assist with the maintenance of a comprehensive database of talent to create a pipeline of best editorial and production candidates tracking availability so that productions can be resourced efficiently, appropriately in a timely manner
Carry out availability checks of freelance talent as directed by talent and resourcing executive
If required, meet new external talent to build market knowledge and continually refresh talent pools, maintaining contact with prospective candidates tracking their development both inside and outside ITV
Ensure as many roles as possible are advertised widely to ensure maximum reach of diverse freelance talent
Coordinate all work experience involving talent and resourcing executive as appropriate
Monitor progress and development of hired candidates and consider for future opportunities (non scripted only)
Employees
Coordinate the end to end hiring processes using appropriate recruitment systems and ensuring hiring managers and candidates are kept up to date throughout the process
Processes, Procedures and Compliance
Keep across ITV’s policies and procedures with regard to recruitment processes
Assist with the capture of all required personal data (including ‘right to work’ evidence) to complete the contracting and on-boarding process if required
Maintain accurate records and notes using appropriate talent systems while ensuring compliance with data protection regulations
Share some contracting workload with colleagues keeping abreast of HMRC guidelines to ensure procedures and practices are legally compliant (training given if required) liaising with HR Services and payroll as required
Assist with the issue of booking and new starter emails as required
Assist with monitoring market rates for key talent to ensure that ITV remains competitive and production costs are controlled
Under direction of the Talent Executive negotiate rates/salary with junior freelance and contract staff
Assist with diary management, set up of meetings/room bookings and travel bookings/raising of purchase order for team as required
Outreach/External Events/Social Media and best practice
Assist in the set up and organisation of any ITV led events eg. networking events, CV workshops and assessment centres
Develop knowledge of all systems and social media used in the attracting, selection and hiring of talent ensuring all roles and business messages are posted across our social media platforms within the SLA.
Work closely with other team members to deliver a first rate talent function sharing best practice and knowledge as appropriate and covering in periods of absence as required
Partner with HR and other talent specialists across ITV to ensure consistent ways of working across the labels and a collaborative approach to marketing ITV as a great place to work
To be considered for this opportunity you will need to demonstrate the following skills:
Minimum role criteria:
Proficient use of Google Suite and comfortable working with different systems with an interest to learn to an expert level
Excellent verbal and written communication skills, eg, negotiation, constructive feedback
Personal commitment to identifying and engaging with all talent to ensure our production teams are representative of our audience
Collaborative and positive approach to resolving problems and improving processes
Exceptional organisational skills with a meticulous approach to detail and tasks as directed
Good knowledge (or passion and curiosity to learn) of the production environment and of the skills and aptitudes required to create and produce outstanding, distinctive, multi-platform and commercially successful content

Exceptional organisational and administrative skills with the ability to work effectively in a fast turnaround, fluid production environment and to deal with people professionally at all levels as well as to strict deadlines where appropriate
Proven ability to work successfully as part of a small team in a matrix management structure
