Interoceanic Hiring for Logistics Coordinator at White Plains, NY Full Time

The Trade Execution Analyst is responsible for ensuring successful handling and processing of domestic, imported, and/or exported orders from customer order placement through invoicing and payment receipt. The primary focus of this role is to support all sales and supply chain efforts through the existing customer service function, emphasizing account management rather than simple order processing. The Trade Execution Analyst is responsible for various activities associated with customer care and support, as well as financial and credit activities.

Key Responsibilities:

• Coordinate the placement of customer orders, including order entry, processing, tracking, billing, and follow-up to ensure customer requirements are met.
• Maintain a feedback loop with Sales Managers as well as Supply Chain to ensure focused, consistent service to customers.
• Ensure customer satisfaction by identifying and meeting their requirements, capturing, inputting, and investigating non-conformances/customer complaints, and ensuring that corrective action steps are determined and implemented.
• Act as a liaison between IOC Logistics, customers, and suppliers, developing relationships with vendors, terminals, and carriers to ensure a smooth operation.
• Maintain accurate and current information as it relates to current and anticipated customer requirements.
• Communicate product, availability, delivery, and certificate of analysis information to customers.
• Monitor customer credit information in conjunction with the Credit department to ensure customer’s shipments do not exceed their credit limits. Follow up on customer short pay invoices and/or past due invoices.
• Review movements for correctness and completeness through ERP systems such as DYCO and NAV. Utilize ERP systems, Outlook, and Spreadsheets to effectively track, communicate and ensure commitments are met.
• Responsible for weekly and monthly s as directed.
• Provide backup for other customer support functions as needed.
• Follow prescribed company policies, department procedures, and sound business practices including any quality or claim issues.
• Make periodic reviews of the status of each movement and supplier position on open orders and due dates, adjusting as necessary.
• Work with the Trade Execution Manager as requested.
• Work to complete assigned tasks with a sense of urgency.
• Perform other duties as assigned.
• Trade Execution Analysts are not authorized to quote pricing or arrange truck transportation.

Operations/Accounting Cross Functional Duties:

• Participate in ERP (DYCO) training of new and current employees.
• Review AR and AP invoices for accuracy; make changes/corrections to PO’s as needed.
• Work with vendors on invoice/PO discrepancies.
• Create and maintain spreadsheets as required.
• Coordinate with the inventory analyst to ensure weekly and monthly reconciliations of terminals tie out.

Qualification Requirements:

• A four-year degree in Business or directly applicable work experience.
• 2-5 years of similar experience.
• Excellent interpersonal, negotiation, and customer service skills.
• Strong PC skills (MS products, Adobe), including experience utilizing the Internet as a resource.
• Ability to develop and maintain effective working relationships internally and externally.
• Dynamic personality to work with multiple types of employees.
• Experience in expediting and negotiations in the logistics process.
• Understanding of plant/warehouse systems and procedures for shipping, accounting, etc.
• Understanding of Logistics/Operations and impact on fulfilling customer’s orders.
• Ability to work independently under limited supervision and demonstrate a high degree of personal accountability.
• Ability to make decisions and recommendations within authorized parameters.
