International SOS Hiring for Payroll & Benefits Coordinator at Aberdeen Full Time

International SOS’s global centre of excellence for offshore and occupational health is headquartered in Aberdeen. Led by a team of industry-experienced clinicians, we have substantial expertise in mitigating offshore and occupational health risks as well leading on the health component of any offshore health event or emergency. Today we support over 140 offshore sites in UKCS, 60 of which are O&G producing assets.

Key Responsibilities

Collate, prepare, process and check payroll data in line with the monthly payroll calendar. Escalating to the Rewards Advisor and HR Manager when required.

• Coordinate monthly reporting for Finance, in line with the payroll calendar.
• Perform essential data integrity checks, identify, and resolve payroll errors, escalating to the Rewards Advisor and HR Manager when required.
• Maintain positive working relationships with stakeholders to ensure actions are timely, cost efficient and relevant. Escalate service issues when required.
• Robust understanding of payroll processes & workflows, ensuring accuracy and completeness.
• Complete ad hoc payroll calculations as required.
• Look for opportunities to improve the current payroll process for the UK payroll.
• Assist in the review and update of Company Process Charts and Factsheets relating to Payroll; keeping abreast of current employment law & legislative changes impacting the business.
• Collate & submit yearly P11D documentation in line with HMRC deadlines.
• Provide support in proactively managing the Pension mailbox on a day-to-day basis in line with SLA’s.
• Maintain and update records within Compensation & Benefit systems and provide regular and ad-hoc reports as required.
• Actively prepare, review and update C&B Factsheets, recommending improvements and ensuring compliance.
• Assist on project work, supporting with data, research and input as required.
• Support administrative activities relating to the annual C&B programs, such as annual pay review, bonus and incentive schemes, benefit and insurance renewals etc. as required.
• Assist with the review and implementation of Gender, Ethnicity and Equal Pay initiatives, in line with legislation and associated reports.
• Manage administrative reconciliations relating to the pension schemes, in line with the Broker and Governance Committee decisions.
• Support Rewards Advisor with payroll and benefit analysis and recommendations.
• Assist Rewards Advisor with Foreign Tax compliance.
• Assist with the preparation of Compensation & Benefits related communications.
• Ensure that HR information and activity always remains confidential, is recorded accurately and in real time.
• Develop and foster strong working relationships with key business stakeholders to achieve business and team objectives.
• Assist Finance in the completion of monthly payroll journals.
• Assist Finance with monthly headcount reporting, as required.
• Acts as the main point of contact for all payroll and benefits related balance sheet queries.
• Work closely with the Payroll Officer – Northern Europe to support on Payroll and Benefit related activity across Medical Services UK and the Assistance Business Line as requested.

Skills & Experience Required

• Experience of running UK payroll as a Managed Service
• Proven ability to liaise with internal and external customers professionally and courteously, including senior managers.
• Experience of working in a multi-site business with multiple terms and conditions.
• Ability to work accurately, with attention to detail.
• Proven experience of working autonomously.
• Strong IT skills in HRIS and Office packages (particularly SharePoint, ADP and Excel)
• Ability to multitask and work under own initiative to deliver to deadlines
• Excellent time management and organisational skills.
• Strong communication skills, both written and verbal.
• Intermediate level knowledge of Excel
