Position Scope:

This role is vital in ensuring a high level of customer service, student records and data integrity. The Registry Clerk is required to maintain and consistently deliver our commitment to set professional standards. In addition, this position provides administrative support to our business development team as needed.

Key Responsibilities (Including but not limited to):

• To ensure the highest degree of customer service to our students
• Help contribute to fostering internal, positive culture by setting the bar and example
• Adhere to IHE’s Admissions Code of Conduct, policies, and procedures
• Respond to students’ telephone, internet, and in-person inquiries
• Create student files
• Process student sponsorship letters
• Ensuring A/R receives new Intakes (Mondays) student files and sponsorship letters for billing
• Schedule GPS students in IHEadmin and in IHE events calendar
• Check IHEadmin that students’ safety tickets have been scheduled
• Maintain notes in the in IHEadmin
• Maintain attendance reports upon request from funders
• Work with Business Development on creating mid-course and completion reports to funders
• Prepare Graduation Packs
• Send grad packs and other items to EDM/INN via Loomis every 2 weeks
• File and distribute papers sent to Head Office from EDM and INN site
• Spot check Course Completion for grad survey and grad follow ups are being done by OSA
• Check funded or students on payment plan to ensure payments are made
• Once student has graduated, ensure all required documents are in student file
• Data witness student files within 90 days of graduation
• Prepare the internal monthly newsletter
• Liaison between OSA and Registrar
• Answer general phone inquiries in a professional and courteous manner
• Use computer word processing, spreadsheet and database software (MS Word, Excel, PowerPoint)
