Job purpose

An essential position within this expanding company, the Finance Assistant will work directly alongside the Finance Manager and Business Affairs Executive in a supporting role and will report to the Finance Manager, a Chartered Accountant.

Essential tasks include being the main contact for invoicing and credit control together with undertaking administration and filing for the department. The Finance Assistant must be capable of stepping in to carry out essential functions in the event of colleagues’ absence and willing to support wider company operations where needed, for example in supporting with meetings and other operational arrangements. There is also scope for project management responsibilities such as implementing new systems etc.

What we are looking for

Insanity is looking for a full time individual to join its centralised Finance and Business Affairs team, working across its operations, including its artist management division. The successful candidate will support Insanity’s in-house accountancy team with the primary responsibilities of raising invoices, allocating payments and credit control.

The role is focused on leading the invoicing and credit control for the group companies including the Los Angeles based office. The role will also support the finance manager with other adhoc tasks. The individual must be agreeable to working two – three days (each week) of a revised work pattern of 12pm – 8pm to cater for the time difference between London and Los Angeles.

It will require the successful applicant to develop systems and practices that support the existing team and improve efficiency. High levels of self-organisation are a must, together with the keenest attention to detail.

Duties and responsibilities

• Generating and issuing invoices using Wrike project management software, Xero and Arrange It software programmes
• Supporting a global team via remote working on cloud based software
• Effectively managing credit control and being able to use assertiveness appropriately
• Reconciling payments on our accounting software Xero, with an understanding of how this effects the book keeping
• Managing petty cash
• Arranging client payments and sending remittances
• Assisting the Finance Manager and Directors with Ad-hoc tasks
• Liaison with the in house finance and legal team and the company’s external accountants
• General administration for the Finance team
• Answering and redirecting incoming telephone calls
• Carrying out due diligence on business transactions
• Contributing to ensuring that business risk is managed appropriately
• Encouraging professionalism and probity within the business
• Ability to step in for colleagues during periods of leave

Specifications

Required:

• 1 years experience of working in a finance role
• An interest in the media industries
• Excellent negotiation / mediation skills
• High levels of assertiveness, confidence and influencing skills
• Ability to think under pressure, remain calm in situations of contention, project a pro-social & professional image at all times and lead by example
• Outgoing, friendly with a ‘can do’ attitude
• Great time management skills
