We are looking for a dedicated and reliable Trucking Virtual Assistant to join our team and provide essential administrative support to our growing trucking business. As a Trucking Virtual Assistant, you will play a crucial role in ensuring the smooth operations of our company by efficiently managing ELD audits, carrier packets, transportation systems, and more.

Responsibilities:

• Conduct regular audits of Electronic Logging Devices (ELD) to ensure compliance with DOT regulations.
• Monitor driver logs and hours of service to maintain accurate records.
• Organize and maintain carrier packets, including contracts, insurance documents, and permits.
• Ensure all necessary documentation is up to date and easily accessible.
• Assist in managing our Transportation Management System (TMS).
• Input and update shipment information, track freight, and ensure timely deliveries.
• Manage and respond to emails promptly and professionally.
• Prioritize and categorize emails for effective communication.
• Handle incoming and outgoing calls with a friendly and professional demeanor.
• Transfer calls to the appropriate team members when necessary.
• Oversee fuel card transactions and reconcile fuel purchases.
• Monitor fuel usage and expenses to optimize efficiency.
• Analyze operational costs and revenue to determine breakeven points.
• Provide insights and recommendations for cost-saving measures.
• Collaborate with factoring companies to process load invoices.
• Ensure timely payments and resolve any discrepancies.
• Utilize your QuickBooks expertise to manage financial transactions, including invoicing, expenses, and payments.
• Maintain accurate and up-to-date financial records.
• Process driver payroll and ensure timely and accurate payments.
• Address any payroll-related inquiries or issues.

Requirements:

• Previous experience as a Virtual Assistant or in a similar administrative role within the trucking industry.
• Proficiency in using Transportation Management Systems and ELD software.
• Familiarity with QuickBooks and experience in managing financial transactions.

• Excellent organizational and time management skills to handle multiple responsibilities efficiently.
• Strong communication skills for effective email and phone communication with team members and external partners.
• Attention to detail to ensure accuracy in data entry and record-keeping.
• Ability to work independently and take initiative to solve problems.
• Familiarity with trucking regulations and compliance is a plus.
• Flexibility to adapt to a dynamic and fast-paced work environment.
