We are currently seeking an Administrative Assistant to work out of our Saskatoon, Saskatchewan location. This role will be responsible for providing administrative support to various departments (shipping, maintenance, production, QA), assisting with production reporting, providing back-up support to Operations Analyst, as well as administration of the Saskatoon Health & Safety Programs.
THE MAIN TASKS ARE:
Ø Maintain the location health & safety training records, schedule all safety training, and ensure all training is completed in a timely manner as per company policies;
Ø Maintain monthly safety talk records;
Ø Assist in accident investigations as needed; provide assistance in ensuring Occupational Health & Safety compliance and protocol are being met;
Ø Participate in all Health &Safety training, with the future purpose of taking on the role of trainer and providing in-house Health & Safety training;
Ø Assist with new employee orientation documents and processes;
Ø Ensure all office supplies, Personal Protective Equipment (PPE), kitchen supplies and any other miscellaneous supplies are properly stocked; reorder as needed;
Ø Navigate and extract information on orders, production and shipping schedules from the ERP Software System as required;
Ø Assist with daily, weekly, monthly production reporting; provide back up support to the Operations Analyst;
Ø Participate in all 5-S and Lean Manufacturing initiatives, as promoted by Infra Pipe, maintaining all relevant Saskatoon 5-S and LEAN projects records and progress reporting;
Ø Conduct all work according to established Infra Pipe procedures, policies and standards;
Ø Actively participate in all Health & Safety training and promote a safe work environment;
Ø Other duties/tasks as determined by the manager.
WE REQUIRE:
Ø 3+ years previous related experience in office administration, or an equivalent combination of experience, education and training that demonstrates the ability to perform the key responsibilities of the position;
Ø Experience in a manufacturing environment an asset;
Ø Strong interpersonal, organizational, and time management skills enabling multi-tasking, prioritizing work and exercising initiative to ensure an efficient and quality level of service;
Ø Attention to detail and accuracy;
Ø Ability to work independently with minimal supervision (self-starter), and as part of the team;
Ø The ability to develop strong and effective working relationships at all levels of the organization;
Ø Previous experience with 5-S and Lean Manufacturing;
Ø Excellent computer skills and sound working knowledge of MS Office (Word, Excel, Power Point). Experience utilizing a fully integrated ERP system an asset.
