Academic Administrative Officer
Reporting to: The Vice-Principal (Academic)
Accessible to: The Principal and Managing Director
Liaising with: Heads of academic department and course programme leaders
Introduction:
Founded in 2003, ICON College of Technology and Management is a private higher education institution adjacent to the City of London and has around 1400 students including in BSc/BA (Hons) Top-Up courses. The College recently signed a partnership agreement with Falmouth University for a period of five years to deliver validated approved BSc/BA Hons courses. The College is also planning to deliver a Falmouth University validated MBA degree course to start next year.
The Academic Administrative Officer will provide administrative support to the Academic team of the College, in particular Vice Principal (Academic Affairs) and Head of Departments. The role will help Management Team to make the best use of their time by dealing with administrative takes and also supporting Academic staff and therefore providing a high-level professional support service to the section.

Job Description
· You will support key administrative activities within the College academic team, assisting in the continual development, improvement and implementation of associated procedures and systems.
· Contribute to programmes operations and identification of existing and potential issues
· Suggest solutions on operational matters identified
· Take on some of the management responsibilities and working more closely with management (Vice-Principal and with the HoDs and Academic Staff)
· Prepare appropriate papers for VP (Academic) and HoDs on provision of statistical data and reporting on cohort performance, progression, retention, withdrawals and etc. of the students
· Note taking of the meeting and reporting as required
· Prepare all the necessary materials for the meetings and ensuring the management is well prepared for meetings. Including, documents for Assessment Boards, ensuring that eligibility for progression and graduation.
· Organising necessary meetings, especially departmental SSLP meeting every semester
· Keeping deadlines for reports to be submitted to the different college stakeholders or external collaborators
· Contact point on providing of high-quality customer service for the College and other stakeholders (Academic staff, students, guests etc.)
· Provide potential students and other interested parties with information regarding the course before referring them to the relevant Academic Staff (VP or HoDs)
· Devising and maintaining office systems, including data management and filling
· Carrying out background research and presenting findings to the management
· Providing an accurate and timely advice to academic staff on issues relating to assignment submission/resubmission.
Person Specification
Essential requirements:
· You should have administrative experience of working within a large organisation dealing with a wide range of individuals. You should be proactive, have good communication and interpersonal skills and be flexible.
· Excellent communication, organisational and interpersonal skills are essential, as is a professional approach to all aspects of this busy and demanding role.
· Previous experience in a similar position is essential
· Strong sense of responsibility and ability to complete tasks with minimal supervision
· Impeccable written and oral communication skills
· Proficient with Microsoft Office
· Experience of taking minutes in academic institution
· Experience of working in academia is preferable
· Minimum graduate level is desirable
· Skills of shorthand writing is preferable.
Desirable requirements:
· Familiarity with the independent higher education sector in the UK.
Benefits:
The College will offer a competitive salary in the range of up to £30,000 – £32,000, depending on qualifications and prior experience. In addition, there will be 33 days holiday (including 8 bank holidays) per annum. During Christmas time, staff can either take three days holiday or have tasks assigned by their line manager. A range of work-life balance opportunities and family-friendly negotiated working arrangements are available. A 5-8% private pension contribution may also be made by the College.
