Where You’ll Be Working

Tomaree Medical Centre provides GP services and visiting outpatient clinics. It is located within the new Tomaree Health One Campus which is a facility within Community and Aged Care Services Greater Newcastle Sector. It provides services and care to people living and visiting the Tomaree Peninsula and surrounding areas.

About The Role

Provide efficient and effective secretarial and administrative support services for the Tomaree Medical Centre, and provide day-to-day monitoring of administration staff to support Tomaree Health Campus in achieving their objectives in a timely, reliable, and efficient manner. This role is supported and guided by the Health Service Manager, along with a team of highly skilled and dedicated staff. HNELHD provides the opportunity to learn, develop, and grow within an already well-established health team environment with ongoing education and training goals. The hours of work will be Monday to Friday 8.00am to 4.30pm. Tasks include but not limited to:

• Provide diary management, travel arrangements, timesheet and leave/payroll processing, and attending to incoming and outgoing correspondence
• Work with the Health Service Manager in regard to recruitment of Administration staff and ensuring adequate staffing levels
• Prepare s, documents and correspondence, including drafting complex correspondence, to clearly and accurately communicate required information
• Organise, co-ordinate and provide secretariat support for designated meetings and committees, including preparation of agendas, meeting minutes and related papers to support effective conduct of meetings
• Co-ordinate meeting room bookings and related tasks including organising video/teleconferencing facilities to support effective conduct of meetings
• Provide reception services to facilitate the professional and timely management of both internal and external customer inquiries via telephone, face to face or written communication
• Entry of patient information, clinical data and patient scheduling using Best Practice System, including tracking appointments prior to clinics to ensure all medication records and electronic patient management system are available for procedures

Information For Applicants
