Travel: Up to 25% travel to subsidiary locations.

Position Status: Full-time; standard office hours, Monday-Friday and weekend work as needed.

General Summary

HRinMotion, LLC (HRIM) is looking for an experienced Staff Accountant who will be the first point of contact for all matters related to accounting and finance to include collaborating with the Certified Public Accountant and contract officials. The incumbent is responsible for computing, classifying and recording financial transactions, and will ensure timely and accurate billing and invoicing and other subsidiaries. It is crucial for this role to consistently exercise professionalism, discretion, and confidentiality.

• Ability to run day-to-day operational finances of a small to medium sized business including but not limited to: (1) parental tuition, (2) contract funding, and (3) all aspects of AP/AR.
• Ability to set-up and implement financial standard operating procedures (SOPs).
• Prepare monthly company financial reports for executive leadership Board.
• Manage a growing team.
• Support internal clients.
• Create and implement financial controls.
• Create operational financial reports and budgets.
• Able to research and report on variances.
• Process accounts payable for the organization and its subsidiaries.

• Record, balance, and deposit public purchases or fees, donations and employee reimbursements, including maintaining spreadsheets for such billings.
• Manage accounts payable procedures to include verifying accurate billing, preparing payments for signature, processing bills for payment, and ensuring payments are timely delivered.
• Maintain the database of outstanding vendor invoices.
• Collaborate with management to ensure all receipts and record keeping needs are met and recommend actions to resolve discrepancies.
• Manage accounts receivable procedures, reconcile and post payments into the database, ensure accurate error reporting billing (including tuition, temporary staff, etc.).

• Monitor and follow-up with customer and client account for non-payment and delayed payments.
• Complete accounts receivable adjustment, address re-bill and/or refund opportunities.
• Review of parent and agency AR Aging reports to manage cash inflow and minimize account delinquencies.
• Ensure invoices are accurate for various services.
• Prepare and enter bank deposits, and process payout slips.
• Audit government payment report for accuracy.
• Perform accounting administrative and clerical duties.
• Maintain accounting database and filing system.
• Assist with internal and external audits.
• Meet with CEO and designee to verify financial accounts are accurate and current.
• Reconcile petty cash at all locations.
• Prepare accounting/financial reports as needed.
• Interface with government officials regarding contractual accounts.
• Reconcile the organization’s and its subsidiaries bank accounts.

Qualifications

• Bachelor’s Degree in Accounting, Finance, or related field is strongly preferred.

• Minimum of five to seven experience as an accounting professional supporting executive level management. Experience working in both the private and public sector is required. Childcare industry grants and contracts experience is strongly preferred. A combination of education and relevant work experience may be considered.
• Must be proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
• Experience with QuickBooks, ProCare, Receipt Bank, Bill.com and other accounting software is strongly preferred.

Working Conditions

The employee will be working in a normal office environment.

Physical Requirements

While performing the duties of this job, the employee will frequently sit, stand, walk and reach. The incumbent may need to lift files or packages periodically. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
