About The Role

The HR Administrator at Flemingdon Health Centre plays a vital role in supporting the Human Resources team by managing administrative functions related to recruitment, employee onboarding, training, performance management, and employee engagement. Reporting directly to the HR Manager, the HR Administrator ensures that HR policies and procedures are effectively implemented and maintained. The role involves coordinating onboarding sessions, screening applicants, maintaining accurate employee records, and processing HR documentation including offer letters, employment letters, benefits forms, and invoices. Additionally, the HR Administrator supports compliance with occupational health and safety standards and assists in developing and updating HR policies. This position requires excellent organizational skills, professionalism, and the ability to communicate effectively with staff and community members. Flexibility to work evening and weekend hours as needed is essential to meet project demands and support the operational needs of the centre. Qualifications

• Bachelor’s degree in Human Resources, Business Administration, or a related field.
• Minimum of two years’ experience in Human Resources or administrative support roles.
• Proficiency in MS Office Suite (Word, Excel, PowerPoint).
• Excellent interpersonal, oral, and written communication skills.
• Ability to maintain strict confidentiality of HR information.
• High level of integrity and responsibility.
• Exceptional attention to detail.
• Strong organizational, coordination, and multitasking abilities.
• Analytical and problem-solving skills.
• Experience working within diverse communities and promoting inclusivity.
• Ability to speak additional languages relevant to the community served (e.g., Farsi, Pashto, Slovak, Czech, Arabic, Mandarin, Urdu, Hindi, Tamil) is an asset.
• Flexibility to work outside regular hours, including evenings and weekends.

Responsibilities

• Coordinate and facilitate onboarding sessions in collaboration with various departments.
• Screen job applicants to ensure they meet eligibility criteria and organizational standards.
• Maintain accurate employee files and ensure HR database is current and compliant.
• Process HR documents such as offer letters, employment agreements, attendance reports, benefits documentation, and invoices.
• Assist in updating and maintaining HR policies, procedures, and occupational health and safety documentation.
• Support the development and posting of job advertisements, schedule interviews, and assist with new employee onboarding.
• Track and document employee training activities in accordance with legislative requirements.
• Support HR processes including performance management, salary adjustments, benefit changes, and time tracking.
• Respond promptly and professionally to employee inquiries, providing excellent customer service.
• Support front desk operations and assist with on-site activities as required.
• Collaborate with the HR team on various projects, initiatives, and special assignments.
