Job Summary
Houlihan Lokey is looking to hire a Recruitment Coordinator to join our London based Talent Acquisition team. The Talent Acquisition team have responsibility for hiring into business areas across Europe. The team are also part of the wider Global Talent Acquisition team based in the USA.
Recruitment Administrators are an essential part of our recruiting team, facilitating a positive, successful process for our candidates, recruiters and bankers. This position is an ideal starting point for people looking for a career in recruiting, talent analytics or a broader human capital role. The Recruitment Administrator is responsible for the administration of both campus and lateral hiring efforts. They work closely with the HL recruiting team on the day-to-day recruiting activities, which include but are not limited to: job postings, interview coordination, candidate management, ad hoc projects and day-to-day administration.
Responsibilities
Campus Recruiting
University and in-house campus recruitment event logistics, including managing:
Room bookings
Refreshments
Event marketing
Student sign ups
Business sign ups
Presentation materials
Transportation
Attendance as needed for events
Manage calendar invitations and send logistic details to business event attendees
Market events & vacancies through schools as needed
Subsequent declining of unsuccessful candidates in a timely and sensitive manner
Ensure diversity is a top priority across all programs
Lateral Recruiting
Responsible for arranging lateral candidate interviews and tests – liaising with candidates, search firms/recruiting agencies, bankers and personal assistants
Responsible for conference and video room bookings, or virtual interview sessions
Manage the real time accurate updating of the Applicant Tracking System (Workday) or other tracking mechanisms as necessary
Posting of vacancies to Applicant Tracking System & external facing sites
Respond to ad hoc queries in a timely manner
Subsequent declining of unsuccessful candidates in a timely and sensitive manner
Additional Responsibilities
Responsible for proactive day to day monitoring of the central Recruitment mailbox
Check Applicant Tracking System daily where required, whilst ensuring GDPR compliance
Candidate and team expenses
Log invoices received, obtain necessary approval by Senior Talent Acquisition Manager and pass to A/P for payment
Basic Qualifications
1+ years’ experience in a fast-paced, action-oriented corporate environment
Excellent administrative and organizational skills with strong attention to detail and ability to exercise independent judgment
Client service orientation is key
Strong communication / interpersonal skills and professionalism – able to confidently interact with internal clients
Positive attitude, excellent team player, resilience and diligence
Solid understanding of Microsoft Office, Excel skills are a plus
Preferred Qualifications
Experience coordinating complex people-oriented processes
Prior experience working in an administrator role within a Human Resources or Recruiting function
Previous experience of working for an investment bank or professional services organization, highly preferred
Experience working with Applicant Tracking Systems
