Job Role Summary

The position is responsible for monitoring the budget, Preparing new requisites and creating POs, mail distribution (every morning), Sending receipts to purchasing, SAP, Ordering supplies and equipment for EHSM crews, Keeping inventory (office supplies), assisting the administrator in duties as assigned, providing clerical and secretarial support, assisting in the scheduling of work for the operation of crews, answering the phone, and maintaining files for s, cross train with office manager.

Associated Job Duties

• Maintain EHSM budgets, ensuring POs are up to date and accurate, sending all receipts to purchasing in timely manner.
• Complete necessary paperwork for employee travel
• Schedule physical examinations for CDL drivers
• Inventory and order office supplies / tools and equipment for crews
• Work closely with EHSM Administrator and Manager
• Attend meetings and trainings as needed
• Maintains office files / records for efficient retrieval of information preparation of s.
• Stamp and place co-ordinance on all (502) paperwork that is received from Housing and entered on to the weekly .
• Daily downloading of camera, attaching photos to document properties cleaned by EHSM, all when needed.
• Tool Loan program, keep inventory of tools loaned out and returned
• Keep accurate schedule of the 4040 buildings conference room
• Maintain Billing records for the department
• Using Accela – calculate labor hours, equipment hours, and administrative fees for each cleaned property, plus any additional weight over 10 tons.
• Prepare and print billing letters to send to property owners and submit to the Recorder’s office for processingInvestigate and prepare releases for paid fines of EHSM cleans, all when needed.
• Prepare documents upon as needed for court.
• Prepare and distribute daily work logs for crews.
• Screens visitors, mail, telephone calls and routes them to the appropriate person.
• Orders supplies and equipment for the department as needed.
• Participates in public health emergency preparedness exercises and in the response to public health emergencies, as directed
• Participates in a minimum of two H.O.P.E. events totaling a minimum of eight (8) hours annually
• Other duties as assigned

Qualifications

High school diploma or equivalent

1-3 years of office experience

Knowledge, Skills & Abilities

• Verbal and written skills
• Microsoft Office : Word, Excel, Access
• Ability to learn other programs and office equipment used by the department
