Job Description :

The Talent Acquisition Coordinator (TAC) has a crucial role in providing effective administrative support services on behalf of the Talent Acquisition team which, will also include some first line support resourcing activity. Working in collaboration with the wider business, the coordinator works with the Talent Acquisition team to support the 360-recruitment process, ensuring both a quality candidate journey experience and service delivery

• Alongside the Talent Acquisition Manager support the business in scheduling interviews, assessments and ensure all resources are available as required when assessments are taking place
• Where required support the Talent Acquisition Manager in the resourcing and or screening of candidates for junior roles
• Complete contracts for all new hires ensuring they are accurate ready for signature
• Ensure all weekly trackers are shared all business units at the relevant time
• Provide administrative and activity support to the on boarding process as and when required.
• Applying for employment references of all new employees
• Support in the co-ordination of individuals who join us for work experience or engaged as interns
• Responsible for ensuring each candidate that goes through the process is treated with respect and although it becomes challenging to join, enjoyment and engagement within us and our brand is key
• Work with the Talent Acquisition Manager to Co-ordinate the attendance at annual graduate recruitment fairs or other events that support direct resourcing aims ensuring follow up with prospective talent post event
• Ensure all files associated with TA team are structured in an orderly and user-friendly structure
• Keep up to date and track of 3rd party suppliers (recruiters), their terms of business and ensure they are filed accordingly

New Starter Process

• To ensure all coordination aspects of the new starter process are effectively administered and completed in a timely and accurate manner
• Provide support for the on boarding of Graduates onto their annual programme ensuring all programme events have been communicated in in line with programme timelines

• Create all new starter documentation
• Complete administration and checks for the new starter process
• Support the Learning & Development Manager as required when scheduling new starter learning events held during an employee’s induction phase
• Provide Operations with new starter information to include photo, bio, name of their line manager and buddy on time to meet intranet publishing deadlines

Systems

• Keep the recruitment HRIS up to date with the correct candidate information
• Support the recruitment process when necessary to ensure administrative tasks such as arranging interviews, issuing assessments, and new starter documentation are input into the HRIS accurately
• As and when required, enter data into required spreadsheets aligned to the appropriate process

Reporting

• Support the T&P team with data gathering for required reports as requested by the Director – T&P, wider Business, Havas Group
• Support in providing analysis summary reports on exit interviews
• Support with the administration for annual employee survey and assist with collating the output data from the survey

Reception Cover

• To share Reception cover duties as required
• To gain an understanding of tasks and duties to enable an effective service when covering reception.
• To arrange courier bookings, client lunches, refreshments and HKX room bookings as part of the reception duties

General Administration duties

• To carry out any other duties as required within the scope of the skill set determined for the role
• Ensure update knowledge on GDPR within the scope of role

• Agency experience would also be ideal however again not essential
• A knack for building and maintaining professional relationships
• An agile way of working
• Confidence with a consultative approach
• Curiosity and a willingness to participate in generalist HR issues alongside the rest of the team as and when required
• Articulate with excellent written communication skills and a high level of attention to detail
• Amazingly organised with the ability to manage multiple requests and priorities and remain calm
• A can-do attitude and not afraid to roll their sleeves up and pull together as required
