Reporting to the Senior Admissions Manager, PGME Certificate & Master’s Programs, the Admissions Coordinator supports the admissions process for assigned programs. Duties include management of the application review process and recruitment activities, tracking candidates through acceptance, documenting the selection process, and facilitating pre-admission correspondence with applicants and students. This position acts as primary customer service point of contact for pre-admitted students, including general program and application inquiries. This position includes an emphasis on engaging the student audience and facilitating conversions. Utilizing Salesforce, the Admissions Coordinator manages the organization of application materials for faculty and administrative leadership review, creates and maintains a shared tracking system and database for review committee access, and processes formal letters of acceptance and visa verification letters in a timely manner. Assist with efforts to ensure successful onboarding of applicants prior to matriculation and support the team’s financial operations; tuition payments, invoices, discounts, and scholarships. Responsible for the compilation and sharing of relevant data with the marketing team to assist with inbound marketing efforts – as well as assisting with info session webinars and other programming, as needed. Engage in admissions and program related projects and meetings with faculty, marketing, education, and operations teams as needed. Assist team leadership with the development and implementation of admissions and enrollment policies around areas such as cancellations, withdrawals, deferments, etc. Review and update admissions-specific web pages. Take an active role in hosting and participating in- in person- information sessions and travel offsite both domestically and internationally on occasion to staff programs and/or host events.
Basic Qualifications
Minimum 3 years of related experience in admissions, student services, or customer service. Education beyond high school may count toward experience.
Additional Qualifications and Skills
Bachelor’s degree preferred. Experience in graduate or postgraduate higher education setting preferred. Excellent interpersonal, customer service and communication skills required. Ability to prioritize work in an environment with multiple competing priorities. Ability to work independently with minimal supervision. Ability to handle complex and confidential information with discretion. Competency using a variety of computer software. Proficiency with Microsoft Excel, Word, and PowerPoint preferred.
Additional Information
This is a two-year, fully benefits eligible, term position with possibility of extension contingent on work performance and continued funding for the position.
This Staff role may start as a remote position due to the COVID-19 pandemic and while restrictions are still in place. The current remote nature of this role is considered temporary and may change as the University continues to evaluate options. While we continue to monitor the evolving COVID-19 guidelines, local on-campus work may be expected for some roles. Harvard Medical School does support flexible schedules, subject to individual departments’ business needs.
