Haines Gallery Hiring for Bookkeeper Job at San Francisco, CA Full Time

Contemporary art gallery located in Fort Mason is in need of a full charge bookkeeper to oversee gallery and owner financials. The successful candidate will have a minimum of 5 years previous bookkeeping experience and be available to work on-site for 8 hours per week during regular business hours, with up to 4 additional off-site hours as needed. Responsibilities include:

Gallery

• Record and pay expenses

• Record income and related inventory transactions

• Process and make deposits

• Track artist payables

• Prepare purchase orders for artists

• Reconcile bank accounts monthly

• Reconcile petty cash

• Update FilemakerPro database to track client and artist payments

• Process payroll via ADP (2x monthly)

• Track and issue sales commissions

• Assist new employees with onboarding forms

• Track employee vacation and sick time and benefits

• Provide monthly financial statements (P&L, etc)

• Pay estimated tax payments as instructed by CPA

• Enter credit card transactions (expenses) and reconcile monthly

• Maintain various Excel schedules as needed

• Prepare and file sales tax prepayments and returns

• Prepare and file SF payroll and sales tax prepayments and returns

• Prepare annual business property tax return

• Prepare and send 1099s

• Send W2s

• Provide tax preparer with clean trial balance and necessary details

• File all related documents

• Point person for profit-sharing plan management

Owner’s Personal Financials

• Record income and pay expenses

• Process deposits

• Monitor bank balances

• Pay estimated tax payments as instructed by CPA

• Provide tax preparer with clean trial balance and necessary details

• Provide monthly P&L statement

Necessary Skills

• Quickbooks desktop for Mac, Excel, Word, Filemaker Pro, Dropbox, Mail

• Minimum 5 years experience required. Accounting degree preferred, CPA a plus. Compensation commensurate with experience.
