Gwynedd Council Hiring for Human Resources Assistant at Gwynedd Full Time

• Assist and support the Personnel Administration service to provide a professional service and ensure that the Improvement Plan of the Human Resources Department is implemented.

Main Duties .

• Administrate and arrange recruiting processes of the Services including coordinating advertisements, arranging interviews and dealing with correspondence with applicants and maintaining the tracking system for applicants, namely Compel, and assisting in any other way with the staff recruitment and appointment process.
• Responsible for administration of the personnel desk and promoting the work within the Service.
• Support the Personnel Officers to ensure that employment issues, appointment letters and employment contracts are processed correctly and in a timely manner.
• Ensure that the database of the Services’ organisational chart is up-to-date.
• Process applications for maternity/paternity/adoption leave and professional fees and refer any unusual enquiries/problems to the Team Leader.
• Record the number of disciplinary, complaints and lack of capabilities cases and support the Personnel Officers with any administration, including regrading applications and appeals.
• Administrate the absence arrangements, including the procedure of referring individuals to the occupational health doctor and keeping the sickness database up-to-date.
• Process any arrangements made to record, monitor and measure the performance indicators of the human resources service.
• Be responsible for maintaining the general filing system of the Support Unit (Personnel), in accordance with the Data Protection Act and assist with maintaining the personal and sickness files of members of staff of the Directorate on paper and electronically and to ensure complete confidentiality and appropriate auditing, including ensuring compliance with the Data Protection Act.
• Undertake administration tasks associated with the personnel data system, including the ‘bring-ups’ process, together with relevant enquiries and letters associated with the process.
• Provide cover over absence periods of the Advertising/Personnel Assistant which means coordinating advertisements from the Services and preparing them for appearance in the press. Process and administrate the procedure for corporate advertisements, e.g. the Bulletin and the intranet.
• Produce employment commencement/termination forms and ensure their accuracy for services and assist with checking the details on the forms and forward them to the correct places.
• Assist with the administrative work involved with the staff Pool of the Council.
• Responsibility for self-development.
