POSITION SUMMARY

Guardian Property Management is looking for a full time, permanent administrative assistant to join our team! Guardian has been operating for over 30 years in the Waterloo Region as a residential property management company. We pride ourselves in taking care of our real estate rental properties as if they were our own.

The mission for this position is to maintain high levels of owner and resident satisfaction. Working in a supportive role with our Tenant Relations Officer, your primary responsibility is the relationship management between property owners and tenants through excellent customer service.

JOB RESPONSIBILITIES

• A typical day will include supporting the Tenant Relations Officer by addressing tenant and owner concerns via email and phone.
• Preparing files for tenants and landlords, saving reports, photos and documents on the server and arranging inspection appointments.
• Scheduling property maintenance for various trades persons for multiple properties and sharing with tenants about the required access.
• Assisting with checking tenant applications and creating leases. Organizing files in preparation for moving day.
• Other tasks as assigned

QUALIFICATIONS

• Ability to work in a fast paced office environment and respect deadlines
• Professional written and vocal communication skills required
• Be an optimist with a happy, pleasant and supportive personality
• Highly organized and detail oriented multi tasker.
• Must have experience using Microsoft Office (Excel, Outlook Email, Word)
• Knowledge of the Landlord and tenant act would be beneficial, but is not a requirement
• Must have a reliable vehicle and valid driver’s license – Our office is not accessible by public transportation.
