Job Description

We are looking for someone to support the people and culture team and create a great office environment for our GROWgetters. You would be required to come into the office 4 days a week.

Building & Office Administration

• Maintain and manage the building access cards and system in accordance with required facilities
• Coordinate office maintenance, including repairs, cleanliness, and security.
• Collaborate with vendors and service providers to ensure a safe and efficient work environment.
• Coordinate and manage office supplies for team members such as fruit, snacks, stationary and other items.
• Ensure the office is tidy and presentable, that all rooms are in working order.
• Coordinate the setup of workspaces and office layouts in consultation with the Executive Assistant, IT and Head of People & Culture.

Onboarding & People and Culture functions:

• Provide support with employee lifecycle administration including onboarding, off boarding, and employee letters
• Facilitate the onboarding presentation session for all new hires at GROW on day one
• Manage the onboarding process for contractors including requesting IT access, applicable NDAs and maintaining accurate records.
• Ensure people systems are maintained and kept up to date.
• Support compliance with legislation from a workplace health and safety perspective. E.g. completing hazard checks in the office, maintaining first aid kit, organising training for first aiders and mental health first aiders
• Ensure people policies are updated and maintained as per legislation
• Monitor the #help-people-and-culture channel and answer employee questions
• Support with company-wide communications from People and Culture including the wRAP
• Managing access groups in our LMS, Go1. Following up on completion of compliance courses across the business.

Event & People Project Support:

• Work with the People & Culture team and EA in developing a staff calendar of events for the calendar year.
• Assist the Executive Assistant & P&C with the staff calendar of events, i.e. Pulse Survey distribution, culture workshops, parties, morning teas, town halls, P&T All hands etc.
• Assist in the execution of company events, conferences, senior leader events, and special projects.

Qualifications

• Proven experience as an office assistant or in a similar administrative role.
• Strong organisational and time management skills.
• Excellent communication and interpersonal abilities.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
• Knowledge of HR principles, financial management, and compliance.
• Problem-solving and decision-making skills.
• High level of confidentiality and integrity.
