About the Position:
The schedule is Monday to Friday, 40 hours a week. The ideal candidate would be customer service oriented and comfortable in a fast-paced environment. They would have experience with MS Suite and possess strong computer skills, as well as have a polite phone manner and excellent customer service skills.
Comfortable working independently, as well as part of a team, as they will be required to manage tasks on their own as well as collaborate with other Office Administrators and to the Office Manager.
Responsibilities:
Reception (40%) – managing and directing phone calls, greeting clients, handling couriers etc.;
Basic Accounting (25%) – entering payables into QuickBooks, assisting the team in preparation of invoicing, preparing basic s;
Organization (20%) – maintaining client files, event scheduling, ordering lunches, managing stock levels of office supplies.
General Office Support (15%) and other admin tasks as required.
The amount of time dedicated to tasks may change as needed.
Skills and Qualifications:
1+ year of experience as a Receptionist is preferred;
1+ year of experience as an Administrative Assistant is an asset;
Customer service, hospitality and/or retail experience is an asset;
Pleasant phone manner and interpersonal skills;
Outstanding verbal and written communication skills;
Proactive and self-starting approach to managing daily tasks to ensure the office is functioning optimally;
Ability to learn, adapt and follow deadlines, while maintaining a strict level of attention to detail;
Ability to focus on multiple complex tasks simultaneously until completion;
Ability and willingness to regularly follow up with all stakeholders to ensure current matters are addressed appropriately and in a timely fashion;
Ability to think outside the box when it comes to solving unique tasks;
Maintaining a positive attitude and work environment.
