Purpose of role:
A key member of the wider HR team, this role requires initiative, self-motivation and an appetite to develop. You’ll be the key to ensuring the timely and accurate recording of data into the HR Information System (HRIS), ensuring starters, leavers and employment and personal changes are captured and accurately feed into dependent processes. You will also be the support to the payroll team, assisting where necessary and covering them during periods of absence.

Key Responsibilities
HR Operations
Undertakes processes in line with agreed process maps and operating procedures. Proposes iterations to current practice for efficiencies, to improve the employee experience. Highlights and escalates any identified risks or ineffective controls of processes within the remit of the role.
Ensures employees are assigned to the correct position, and inherit the correct position attributes such as Line Manager, cost centre, location, working and scheduled time, local calendars to reflect public holidays, as part of the starter or employment change processes.
Manages the HR inbox, ensuring queries are serviced in a timely manner, escalating as required. Acknowledges receipt of queries or information, and provides updates as required.
HRIS “superuser”, with responsibility for ensuring the Company are maximising the potential of the system. Proposes iterations and adoptions for improved efficiencies or to reduce manual interventions. Drives data integrity, to maintain the HRIS as the single source of truth.
Post-recruitment processing: liaise with the Talent Acquisition function to ensure Recruitment Authorisation Forms (RAF) are completed, fully capturing the details of the role and offer. Issue offer documents in a timely manner, creating new employee records in the HRIS that accurately reflects the details on the RAF, as well as candidate information as detailed on their completed contract documentation.
Post-recruitment processing: following formal offer acceptance, initiate the pre-employment screening checks in a timely manner, ensuring the screening provider has all the information required to complete the checks in a timely manner. Maintain updates on the progress of checks, providing information, guidance or sign-posting as required to avoid unnecessary delays. Escalate issues to the HR Advisor as required.
Starter processing: ensure the timely approval of new starter forms, to initiate the relevant IT and Facilities processes.
Starter processing: complete Payroll Notification Forms in a timely manner, to reflect completed and outstanding activities. Ensures the HRIS is updated as further information or updates are received, to inform accurate reporting.
Starter processing: collates, and saves in the relevant shared folder locations, documents necessary for other HR starter processing activities such as payroll to avoid undue delays. Undertakes filing of documents for each month in line with the agreed folder rules and naming conventions.
Starter processing: ensures that a full HRIS record exists by ‘day one’, including accurate annual leave records.
Employment processing: undertakes benefits administration tasks, including updating the HRIS to reflect employee benefits and pensions selections and changes. Provides updated enrolment reports to benefit providers as required, to inform accurate invoicing. Advises as required, or otherwise signposts employee benefits and pensions queries
Employment processing: ensures the HRIS is updated to reflect personal and employment changes to reflect instruction or information received from employees or line managers. Obtains relevant supporting documents as required, ensuring these are appropriately filed and the relevant modules or sections of the HRIS updated, including Leave and Absence, Pay and Benefit modules. Identifies, and undertakes related processes, e.g. employee eligibility to post-probationary benefits following successful completion of probation.
Employment processing: proposes and undertakes changes in the HRIS to achieve process efficiencies, improved data integrity and availability of data to relevant managers and HR colleagues. This includes, but is not limited to, reviewing the appropriateness of workflows, setting up scheduled exports to key individuals and functions and approving self-service requests that inform processes within remit of the role.
Leaver processing: initiates and completes relevant leaver processing, to ensure that key functions receive timely notification of leavers to undertake their relevant processes. Within HR, this includes arranging exit interviews as required, issuing leaver confirmation letters and updating the HRIS to calculate any accrued or owed leave and monies owed by or to the departing employee.
Provide support and holiday cover in the preparation and maintenance of payrolls utilising the portal and the HRIS to ensure the timely and accurate completion of timesheets and payroll for all employees.
Responsibility for ADP iHCM as the single source of HR data for all Greenergy group employees.
