The Forest Service Branch within the Ministry of Environment is seeking a highly motivated, detail-oriented, and innovative Administrative Assistant. This opportunity is ideal for a candidate who enjoys a wide variety of responsibilities.
As part of the administrative team within the Forest Service branch, you will coordinate administrative services to support Forest Service branch units. As a member of our team, you will have the knowledge and ability to:
Type, format, and proofread a variety of documents and materials such as letters, emails, briefing notes, spreadsheets, etc., using desktop tools such as Word, Excel, PowerPoint, Outlook, SharePoint, Midas, Markview, and Survey 123;
Manager incoming mail/correspondence, identify priority mail items, forward to the appropriate staff member for response and follow-up to ensure timely responses are received;
Respond to routine verbal and written enquiries from the general public, government staff and other ministries/agencies and redirect calls and correspondence to the appropriate staff. Acts as a branch contact for facilities and equipment issues (e.g., furniture, computers);
Set up and maintain the records management system for the branch ensuring the proper storage, retrieval, and disposal of the branch’s records;
Schedule meetings, make necessary arrangements (e.g., meeting dates and locations, hotels/flights, required equipment, and catering), prepare agendas, track action items, and take and distribute minutes;
Organize administrative processes to meet corporate/ministry requirements (e.g., Records Management);
Participate in the preparation and administration of branch directives, internal audits, and risk assessments;
Organize and monitor branch staff compliance with mandatory ministry training;
Maintain databases that are used to demonstrate and support the branch in meeting forest management and program delivery values, objectives, key actions, including training needs and records;
Provide financial support such as monitoring expenditures, coding and processing business expense forms and invoices, reconciling purchase card expenditures; and
May provide formal or informal guidance/direction to work unit staff on administrative procedures.
To be successful in this position, our ideal candidate will:
Have knowledge of office administrative procedures and protocols;
Have knowledge and experience utilizing computer software applications such as Microsoft Word, Excel, PowerPoint, and Teams;
Have the ability to communicate diplomatically with a variety of stakeholders in both written and verbal forms, providing quick and accurate responses to their inquiries;
Be self-motivated to solve problems and accomplish tasks using innovative methods with little or no supervision;
Be committed to workplace health and safety to maintain a healthy, productive, respectful, and safe work environment; and
Be committed to the Government of Saskatchewan’s Commitment to Excellence.
Typically, the knowledge required for this position would be obtained through the successful completion of an office administration program and/or several years’ experience in administrative support roles.
