The Ministry of SaskBuilds and Procurement IT Division is seeking a highly organized, proactive and detail-oriented administrative professional to join us in the role of Executive Coordinator. As the Executive Coordinator, you will provide senior level administrative leadership and office management support to two Executive Directors by:
Providing overall administrative management for the branch;
Monitoring and communicating administrative standards, processes and policies across the division and making improvement recommendations to ensure optimum efficiency;
Managing the Executive Directors’ calendars through collaboration, prioritization and scheduling;
Assembling all briefing and background materials for the Executive Directors in preparation for meetings;
Monitoring emails and redirecting requests to other team members as appropriate;
Retrieving, researching and compiling all briefing and background materials for the Executive Director;
Monitoring administrative processes and making improvements across the branch to ensure optimum efficiency and divisional consistency;
Drafting, recording, proofreading and/or editing a variety of correspondence in accordance with Government of Saskatchewan visual identity standards;
Participating in and coordinating management meetings including drafting and distributing agendas and recording minutes;
Tracking and monitoring action items to ensure timelines are met;
Managing incoming and outgoing correspondence ensuring proper distribution;
Maintaining manual and electronic filing, using the ARMS record management system;
Verifying, coding, processing, and tracking invoices for approval and payment ensuring policy compliance;
Compiling expense information and preparing budget reports for review;
Facilitating the job posting and hiring process, as well as the onboarding and off boarding processes; and
Ordering supplies and handling office equipment repairs and furniture replacement ensuring the government assets are managed.
Typically, the knowledge and experience required to achieve the above would be obtained through a combination of formal education in business or office administration, combined with work experience in a similar role. Experience using a variety of computer software applications such as Microsoft Office 365 Suite (Word, Excel, PowerPoint, Teams, SharePoint and Outlook) is also required.
