POSITION: ADMINISTRATIVE CLERK
CLASSIFICATION: Full Time, Non-Exempt
WAGE: Hourly/$12.00 per hour
HOURS/DAYS: M-F Operational Hours
JOB LOCATION: GFS Administration
Introduction:
The Administrative Clerk performs a variety of clerical, recordkeeping, and customer service tasks to assist with the operation of the organization. This position provides administrative support services to management and the organizational department primarily the Administration and Human Resources Department. May act as an administrative liaison with internal and/or external sources.
Major Duties:
Administration Support –
Greets and directs clients and visitors. Makes appointments and referrals. Schedules
appointments, gives information to callers, and takes dictation. Composes simple memos, transcribes notes, and researches and creates presentations. Copies, collates, and otherwise prepares s for mailings, meetings, and other correspondence. Generates s. Receives, records, and distributes mail. Familiar with a variety of the field’s concepts, practices, and procedures. Arrange meetings, travel arrangements, and coordinate conference and company functions. A wide degree of creativity and latitude is expected. Performs other administrative support duties as assigned.
Human Resources –
Assist with various human resources function, benefits and payroll processes to ensure a high level of staff and employee satisfaction. To include: Scheduling of Interviews; processing of new hires; prepare and process Personnel Action Notice (“PAN”), Verification of Employment (“VOE”), Worker’s Compensation and Family Medical Leave Act (“FMLA”) forms, etc. Enters personnel information onto E-Verify. Maintains internal and external employment application log. Update employee’s HR/Payroll information as needed. Disseminate job vacancies for internal posting. Provide sick leave and vacation leave balance to employees upon request. Schedule employee benefit orientation, certification and workshop trainings. Performs other HR duties as assigned.
Physical Demands and Work Requirements:
Candidate must be organized and detailed-oriented with the ability to keep accurate records and documents. Proven ability to prioritize among multiple projects. Must have
problem solving skills and good interpersonal and communication skills (both written and oral). Candidate shall have the ability to travel from varied contract venues daily even at non-operational hours, if required. Must be extremely flexible, able to work independently and as part a team to meet company’s goals.
This position involves being able to handle a very large number of responsibilities simultaneously in a very fast paced environment.
Knowledge Required by the Position:
· Requires a high school diploma 2 year clerical work experience.
· Candidates must be computer literate in MS Windows-based applications (word processing, spreadsheets, presentations) and internet proficient;
· Strong customer service skills. Ability to communicate effectively both orally and in writing;
· Time management skills – ability to plan, organize and carryout projects within timeframes allotted;
· Must have valid driver’s license and reliable transportation.
