We are looking for someone with experience of working at band 3 or above in the NHS or Public Sector. You will be able to supervise others, work with stakeholders at all levels and make students and faculty the focus of your role. Communication and organisational skills are vital as is the ability to build relationships and support others. This job demands planning and organisational skills to manage the delivery of a curriculum in a clinical placement.

Administration Management:

• Deputise in the absence of the Undergraduate Medical Education Manager.
• Manage the day to day activity of the Undergraduate Medical Education department ensuring the provision of a professional, efficient service which is responsive to the needs of students.
• Lead on planning all student placements according to the module and curriculum requirements.
• Lead on planning all tutorials, workshops and assessments, ensuring rooms and faculty are available and that catering, parking permits, equipment etc. are arranged.
• Ensure all students are provided with partnership and timetable information a minimum of 2 weeks prior to placement via email and Moodle.
• Ensure information is sent to students about online induction processes.
• Liaise with the Resource Development Advisor to ensure all new students have access to mandatory induction e-learning and monitor compliance.
• Lead face to face registration sessions for all students at the start of their placement.
• Lead evaluation of placements and teaching delivery using agreed formats such as face to face feedback sessions, electronic surveys etc.
• Organise papers and agenda for the Undergraduate Medical Education Committee, take and circulate minutes.
• Order resources and log invoices online as requested ensuring audit processes are adhered to and evidence is retained.
• Ensure the administration team provides support as required by faculty.
• Organise patients, examiners, catering, permits, taxi’s, vouchers, stock, equipment and paperwork for exams including OSLERs and OSCEs.
• Maintain and update the patient database and patient profiles, auditing annually.
• Ensure timely and accurate data entry and retention of educational delivery evidence in line with quality assurance frameworks.
• Monitor and maintain the consultant teacher evidence database.
• Book and organise OSLER, OSCE and Induction training for teachers.
• Attend phase meetings at Warwick Medical School and represent the Trust through reporting on placement delivery in Trust.

Communication and relationship skills:

• Use excellent communication and interpersonal skills to interact with individuals within healthcare education at all levels including Clinical and University based stakeholders.
• Build relationships with patient volunteers, students and faculty.
• Co-operate and work with others, appreciating the roles of all involved in the education of health care professionals to ensure an optimal education service is delivered.
• Liaise directly with individuals to ensure they are aware of and expecting students.
• Use persuasive skills with students and educators to ensure learning outcomes are met.
• Maintain a professional attitude at all times and develop curriculum delivery in the best interests of the medical education department.
• Produce written communications as required which are clear, fluent, concise and easily understood.

Student support:

• Act as the main reference point and source of information within the Trust for students, hospital staff and University staff with regard to delivery of medical education.
• Be available during normal working hours to deal with student and faculty issues.
• Monitor student attendance and inform the University of any issues where appropriate.
• Provide first line pastoral support for students, which may require tact and sensitivity, referring to seniors as appropriate.
• Maintain confidentiality where possible unless raising safeguarding or patient safety concerns with appropriate seniors.
• Prepare for exposure to distressing and emotional circumstances, when dealing with a student who may be in difficulty.

Service Development:

• Contribute information and data to business cases as required.
• Ensure student requirements and deadlines are met.
• Act as a knowledge resource for others in issues relating to education.
• Relate administrative, education and management theory to practice at level 3.
• Promote the department at conferences and events.
• Constantly explore innovative ways to develop the service.

Audit

• Gather, analyse, interpret and present data for report writing.
• Assist with research where required.
• Obtain feedback and ensure interventions are implemented to improve future feedback
• Undertake education audits, developing databases and ensuring correct data entry

Development of self and others:

• Take responsibility for personal performance and own development needs.
• Attend mandatory training appropriate to the role and undertake basic workplace assessments to ensure health and safety, infection control guidelines and so on are adhered to.
• Have a knowledge of medical education in the NHS environment.
• Actively seek to improve curriculum knowledge within the department and Trust.
• Keep up to date on curriculum developments.
• Actively seek to improve the knowledge and skills of the administration team.
• Possess or be working towards a management qualification.
• Provide constructive feedback, coaching and training for others.
• Carry out the appraisal, supervision and training of junior administration staff.

Effort:

• Prepare to be frequently required to exert moderate physical effort for several short periods during a working day, such as working in an awkward position or confined space, or moving and handling heavy equipment and manikins when preparing for teaching sessions and courses.
• Prepare to be frequently required to exert moderate mental effort. Concentration skills are required when dealing with frequent interruptions and unpredictable patterns of work.
• Prepare for a high volume of PC based work on a daily basis, which may mean sitting at a desk for prolonged periods.
