Summary

The financial controller has a critical position within the organization to build a team and culture of excellence. Attention to detail, keen organizational skills, a solid understanding of accounting principles, ability to lead and manage a team of professionals to accomplish a common goal, ability to assess business procedures and processes and define those to more efficiently operate, and the ability to work well with other departments in a collaborative manner are all critical to the elements needed for this position.

Pay: $100,000.00 – $115,000.00 yearly with 10% bonus opportunity

Duties and Responsibilities:

Daily

• Work closely with accounting specialist and accounting clerks to ensure proper procedures are followed, data accuracy is maintained and responsibilities are being met by all; holding the team accountable and encouraging optimal production from the entire team
• Ensure all deposits are entered properly and are reconciled between Service Titan (ST) and Intacct
• Ensure all monies due from financed jobs are collected and accounted for properly
• Assist all employees with Accounts Payable and Accounts Receivable questions as needed
• Work with all accounting team to ensure all batches are exported into Intacct properly, identifying and correcting errors in the proper fashion as they arise, teaching team how to make adjustments to their procedures to avoid errors in the future, teaching team how to correct the errors on their own in the future
• Work in conjunction with HR director to ensure proper accounting of payroll and HR related items

Weekly:

• Ensure payroll is processed accurately and on time
• Monitor and maintain accurate PTO balances for all employees, ensuring proper notification to managers of balances and discrepancies
• Ensure refunds to customers are processed properly and timely
• Review unpaid bills with AP clerk(s) and ensure bills are paid accurately and on time
• Review any returned checks, enter in Intacct and give to AR Clerk for outbound collection call
• Send out AR reports by department to managers an manage AR clerk(s) towards active collection of open balances
• Hold weekly update meeting with executives and other admin staff

Monthly

• Send updated AR report to AR Clerk(s) for outbound collection calls
• Review all Electric Department Projects to ensure invoiced accurately and review for AR
• Ensure that Membership Coordinator is current on monthly membership billing’s and work with her/him to ensure proper invoicing of expiring memberships and correct entry of renewals
• Distribute next month’s budget numbers along with daily goals to management team
• Update monthly actual numbers in the budget for efficient reporting towards budget goals
• Properly close books at the end of each month
• Prepare monthly financial statements at close of previous month, review for accuracy, identify areas of concern and present to executives for review with recommendations
• Preparing monthly business review of financials and presenting to leadership team
• Monitor and manage leader expense reports and credit card program

Closing the Previous Month

By the 5th Business Day of the month:

• Work closely with TurnPoint accounting team to ensure books are closed properly
• Ensure all adjusting journal entries are made in Intacct as necessary
• Work with AP clerk(s) to ensure all are completed:
• All POs in ST from the previous month have been sent/received/batched and exported to Intacct
• All POs exported to Intacct have been verified
• This step is used to correct Bill Date, add Vendor Bill # and verified due date in system is correct
• All direct-to-Intacct Bills from previous month are entered
• All Vendor statements have been reconciled

Work with all Billers to ensure all are completed:

All Invoices on Invoice screen of ST are batched/posted and exported to Intacct

All open Batches do not have any invoices from the previous month

Using the Search Feature – all “hidden” Pending invoices have been reviewed and exported to Intacct

Pull AR Aging Report from Intacct and ST and reconcile any discrepancies

Review payments in ST that have not been received

Review Undeposited Funds in Intacct for any payments that have not been reconciled on a deposit

Review the Pending Export Report, to make sure nothing has been hung up

Quarterly:

• Conduct One-on-Ones with all direct reports
• Review pay rates and issue raises as earned

Annually:

• Review previous financial data and work closely with executives and business leaders to compile a budget for the upcoming fiscal year
• Prepare the fiscal year budget and present to business leaders
• Work with TurnPoint accounting team to ensure accurate tax returns are delivered on time
• Maintain calendar of accounting related dates to ensure all reports and transactions are entered on time

As Needed:

• Hire and train new employees
• Track and issue Corrective Actions
• Terminate employees if no other solution is possible
• Look for and identify areas of procedure deficiency and/or opportunities for improvement, defining new procedures when necessary and implementing new procedures with accounting team. Working closely with department managers and business leaders when procedures impact their department
• Work with TurnPoint accounting staff to make adjustments to our books when needed, to ensure all TurnPoint requests for information are answered, and to seek advice and counsel on any accounting related matters necessary
• Maintain a strong working relationship with the company CFO to work as partners to ensure all accounting related matters are well taken care of
