General Statement of Duties
The Forsyth County Department of Social Services is seeking a highly motivated self-starter to work as an Office Assistant in the Family & Children’s Division.
This Office Assistant position is responsible for providing administrative and office support to staff in the Family and Children’s Division.
The candidate selected for this position should be professional, people oriented, able to multi-task, possess strong written and oral communication skills.
Excellent organizational and computer skills are a necessity. The ability to pay attention to detail and accuracy is required.
In addition, applicants should have an excellent telephone demeanor, as the person in this position will answer incoming calls with / without the use of a headset, gather information to determine the needs of the customer and direct the customer to the appropriate staff.
Additional duties for this position include but are not limited to : maintaining physical paper files, shelving and retrieving physical and electronic filing systems;
receiving, sorting and distributing incoming mail; preparing outgoing mail for distribution; responding to customer inquiries and greeting customers.
Distinguishing Features
Filing is a daily job responsibility that requires the ability to push, pull, stoop, bend and lift up to 25 pounds.
This position requires sitting for long periods.
Minimum Education and Experience
Graduation from high school or GED and at least one year of office / clerical experience. A higher education level may be considered as a substitution for all or part of the experience.
A valid driver’s license is required as this person will carry out duties that require the occasional use of a County vehicle to perform work outside of the office.
Essential Duties and Responsibilities
Proficient Microsoft Office Skills – Word : perform daily word processing tasks, such as, producing routine letters, memorandums, and informal s.
Excel : work with multiple worksheets, manipulate databases, able to enter and correct data, modify a workbook, format a worksheet, and use printing functions.
PowerPoint : create a presentation in PowerPoint, run and print it.
Proficient use of office technology – desktop computer, copier machine, scanner, printer
Proficient Customer Service Skills – assisting internal and external customers timely, efficiently and in a friendly manner.
Ability to remain respectful and calm in complex situations (i.e., irate customers).
Proficient Verbal and Written Communication Skills – Usage of correct grammar in written and verbal interactions. Ability to convey information clearly and in a concise manner.
Ability to read and / or listen for understanding.
Ability to work well under pressure to meet deadlines.
Ability to handle changes effectively.
