The Client Services Associate at our firm is an integral part of our team serving as the true connection between our clients, support team, and advisors. This great communicator, influencer and enthusiastic person will support the vision, positive culture and team spirit. The role of this position is to engage and support the overall success of many different projects and initiatives and by working side-by-side with our advisors and support team. The Client Services Associate focuses on team success, client onboarding, client success and project managing assignments.
The Client Services Associate requires attention to details, good time management skills, strong team player and must be flexible in a fast paced and changing environment. This position also requires attention to detail, ability to work quickly and efficiently with given technology and the ability to multi-task.
II. ESSENTIAL RESPONSIBILITIES
Client Engagement
· Support core case requests by completing cases for core clients
· Prepare and pre-fill new account applications and maintenance paperwork
· Name documents according to each individual client preferences and assist in adhering to compliance rules by saving paperwork to the appropriate client file, while maintaining segregation between multiple client entities
· Send paperwork to clients using the electronic signature system while adhering to the Custodian’s compliance rules pertaining to electronic signatures
· Assist and oversee margin accounts and provide advisor / client updates as needed
· Send outbound paperwork to clients using USPS or FedEx, dependent upon request
· Quality Check and submit signed paperwork to Custodian for processing
Team Support Optimization
· Ensure team is ready and prepped for upcoming client meetings
· Ensure CRM is properly used and maintained by all in office
· Other responsibilities as dictated by the needs of the business in areas of sales, client service and administration
Advisory
· Engage and prepare client onboarding requirements with financial planning software
· Update CRM with client data and work through client process
· Support client initiatives, statements and portfolio for various types of investment accounts (i.e. Registered and Non Registered Accounts, Corporate and Trust Entities)
Compliance
· Follow compliance standards and protocols
· Manage the submission and review process for all marketing materials
· Manage and oversee the compliance annual review process
Investment Management Support
· Review and Update the fee audit process by ensuring the performance on the security, portfolio and household level is calculated correctly and timely
· Provides trading and ensure trades are placed within model and according to advisor/client intentions
· Ensure the quality of the portfolio accounting is accurate and timely
III. POSITION SPECIFICATIONS
Experience and Education:
· Completion of CSC
· Ideally 2-3 years of experience in a financial services firm
· Strong leadership experience demonstrated
· Experience with Securities, Financial Planning, Investments and Insurance a plus
· Experience working with various Custodian Platforms (Sunlife, NBIN, Fidelity, Schwab, TD, etc)
Skills and Knowledge:
· Client service experience with excellent communication skills (verbal, written and listening)
· Strong computer skills and proficient in Microsoft Office Suite required, CRM software, portfolio management and billing systems
· Proficiency in FIRM CRM preferred
· Knowledge of Broker Dealer and Investment Advisory Regulations a plus
· Demonstrates personal integrity, honesty and is able to deal with confidential information on a daily basis.
· Ability to deal with stress in an ever-changing investment market and financial services
· Excellent time management and strong organizational skills, and ability to prioritize multiple tasks and anticipate potential problems.
