Mspecs Finishing in Ville St Laurent, Quebec is presently seeking an Administrative Assistant/Receptionist for its finishing operations.
Established in 2008 and rebranded in 2017, Mspecs offers a wide variety of metal finishing services, among them: Anodizing; Chemical Conversion Coating; Nickel; Silver Plating; Passivation on stainless steel; Liquid Paint; Powder Paint; Grit Blasting and Brush and Polish. Mspecs is well-equipped to service its clients who derive from the telecommunications, military, commercial, transport and aerospace industries.
Reporting to the President and the XXXXXX, the incumbant provides administrative support to ensure the efficient operation of the office.
Responsibilities:
· Receive and route incoming calls and emails
· Create invoices in ERP system
· Inform customers when parts are ready
· Maintain data base (enter new customers and supplies and update contact information)
· Monitor and maintain stock room (update inventory records and order supplies as required)
· Monitor and maintain first aid kits
· Draft correspondence
· Maintain tracking system to ensure appropriate follow-up with clients on behalf od senior colleagues
· Receptionist duties and customer service, as required.
· Material and out source purchases.
· Coordinate all transportation logistics for in / out bound freight.
· Generate the required customs paperwork for export shipments.
· Assist senior colleagues as required
· Perform other duties as required.
Minimum Educational Qualifications:
High school diploma or General Equivalency Diploma (GED), plus a minimum of three years related experience.
Experience:
Three to five years previous office experience in a manufacturing environment – preferably in plating and painting.
Special Training/Skills:
· Strong attention to detail data entry accuracy
· Excellent computer skills, particularly with MS Office.

· Superior organizational and time management skills
· Excellent interpersonal, problem solving, and conflict resolution skills
· Aptitude for customer service

· Bilingual (English, French) an asset.
