Location: Birmingham, some UK travel required
The Opportunity
Working as part of Talent Shared Services (TSS) within the Pay & Benefits Team, the Pay & Benefits Coordinator will primarily support the administration of EY’s MyReward proposition and other employee benefits that sit outside that platform. The role will work alongside the Benefits Officers and wider team to transact benefit administration including the annual enrolment of MyReward. The Pay & Benefits Coordinator will also support some pay related activity to include pay release and reconciliation activity. Pivotal to this role will be understanding the MyReward proposition and third-party provider benefit platform.
Your key responsibilities
Develop a strong understanding of EY benefit platform and 3rd party provider benefit arrangements to support the processing and administration of benefit services extending to the MyReward benefit platform
Support the team to deliver on MyReward annual enrolment commitments, this may include testing system functionality, benefit text and rates and preparing benefit reports
Work with the team to deliver the administration of third-party invoicing and finance reconciliation
Administration of the submission of income protection insurance claims, dealing with the case through the life of the claim. This involves liaising with internal teams and the Policy Insurer to submit the required information and answer queries that arise.
Work with the team and third-party providers to deliver Tax Year P11D reporting to statutory HMRC deadlines
Support the team with any manual administration e.g., opening benefit windows for employees, sending benefit related data to Benefit providers
Act as a point of contact with the benefit 3rd party providers escalating as appropriate
Manage the effective resolution of employee benefit queries from employees, internal clients (including other TSS teams) and HMRC; examples include queries on specific benefit selections, enrolment enquiries, managing incorrect selections and more.
Support benefit related Payroll Outputs including pay release administration in line with monthly timetable agreed with the Payroll Managed Service provider and internal stakeholders
Develop and maintain strong day to day relationship with internal stakeholders e.g., Pensions, Finance, EYhelp HR and external stakeholders e.g., 3rd party benefit providers, payroll managed service provider
Work with the team to manage issues, challenging queries to resolution keeping key stakeholders updated.
Take a proactive role in learning benefit knowledge and sharing knowledge throughout the team
Contribute as directed by the Benefits Officer to change projects/initiatives to drive continuous improvement and contribute to TSS and wider Regional and Global change initiatives as required
Commit to own personal development and completion of appropriate learning and development activities to ensure capability and skills are current
Skills and attributes for success
Respond to, manage and resolve issues raised by stakeholders that relate to the EY’s payroll and benefits services through an ability to review current systems, the information available and the benefit policy to problem solve using the data you have available
An ability to sensitively communicate with the employee and their Manager throughout IP case management and experience of dealing with difficult cases where outcomes may not be to an employee’s satisfaction
Good understanding of employee benefits including experience of invoice reconciliation
Support team members in transacting the monthly Payroll Processing Timetable including pay over activity with third-party providers
Participation in weekly supplier meetings with the third-party Managed Service and Insurance providers and internal stakeholders e.g., finance contacts
Consult and collaborate to build robust relationships across all UK TSS Service teams, Finance and Regional Talent stakeholders
Ensure all weekly and monthly payroll and benefits activities are delivered to internal and regulatory deadlines
Develop and deep understanding of the UK and ROI regulatory landscape
To qualify for the role you must have
Able to work under pressure to prioritise workload, manage multiple activities and demonstrate flexibility to delivering set tasks within fixed deadlines
Experience of working in benefit administration or payroll
Proficient IT skills including MS Excel – formulas, look ups and pivot tables. Numerical capability and attention to detail
Team player able to consult and collaborate to build robust relationships across all UK TSS Service teams, Finance and Regional Talent stakeholders
Experience of working with 3rd party providers to deliver benefits
Ideally, you’ll also have
Strong interpersonal and communication skills with an ability to develop and maintain good relationships with internal and external stakeholders
Knowledge of operational HR systems e.g., SAP Success factors
A solid understanding of PAYE, HMRC regulations including SSP, SMP, NMW, RTI and Tax/NI e.g., Tax code interpretation, gross to net calculation

You will have excellent numerical and IT skills and be a confident user of Excel, HR systems or other relevant databases.
