About the Role

We are looking for a highly organized, detail-oriented Event & Entertainment Coordinator to support the planning and execution of weddings and special events.

This is a remote, part-time position best suited for someone with event, hospitality, venue, or coordination experience who is looking for consistent long-term industry work alongside an existing role or freelance career. This role is also for someone who enjoys keeping moving parts organized, communicating proactively, and helping live events run smoothly behind the scenes.

You’ll help ensure events run smoothly leading into event days by coordinating timelines, communicating with clients and performers, organizing logistics, and keeping multiple moving parts aligned.

This is not a sales role.

What You’ll Be DoingEvent Coordination & Logistics

• Managing multiple active events simultaneously at different planning stages
• Coordinating schedules, logistics, and event details
• Building and refining event timelines and run-of-show documents
• Following up on outstanding details with clients, planners, venues, and artists
• Assisting with final event preparation in the weeks leading up to events

Client & Artist Communication

• Communicating professionally with clients, planners, venues, DJs, musicians, and internal team members
• Leading or participating in occasional Zoom planning calls with clients
• Helping ensure artists have accurate schedules, logistics, and event information

Team Collaboration

• Participating in daily remote team communication
• Working collaboratively with producers, sales staff, and roster managers
• Escalating issues proactively and helping solve problems calmly under pressure

Schedule & Availability

• Remote / flexible structure
• Averaging around ~20 hours/week across the year
• Busier during peak wedding season (May–October)
• Most work happens during weekday business hours
• Occasional early evening client/planner calls may happen closer to event dates
• Daily team Zoom huddle at 9:30am EST Monday–Friday (not rigidly mandatory, but strongly encouraged as part of team communication and operational alignment)

We are looking for someone interested in building a longer-term fit with the team — ideally for the remainder of the year and beyond.

Compensation

• Flat $2,000/month retainer structure (non-hourly)
• Workload flexes seasonally across the year

Qualifications

• Experience in event coordination, hospitality, operations, or project management
• Strong written and verbal communication skills
• Ability to manage multiple concurrent projects and deadlines
• Strong organizational and follow-through skills
• Comfortable working independently in a remote environment
• Familiarity with weddings, events, hospitality, entertainment, or production environments is an asset
