POSITION SUMMARY:
Reporting to the Customer Service Manager, the Receptionist will be responsible for providing exceptional customer service and assistance to all members of Eurofase. The receptionist is the first point of contact for visitors and callers. This role will also be responsible for providing office and administrative support to the organization, and requires superior organizational skills, attention to detail, strong interpersonal and communication skills and a high regard for confidentiality.
POSITION RESPONSIBILITES:
Ø Greet clients and visitors with a positive, helpful attitude.
Ø Answer, forward, and screen phone calls, with a positive and helpful attitude.
Ø Maintain workplace security by collecting customer information as necessary and maintaining visitor logs.
Ø Assist with a variety of administrative tasks including copying, faxing, filing, and taking notes.
Ø Support and distribute mail accordingly to key stakeholders.
Ø Audit and verify vendor invoices and proof of deliveries (POD).
Ø Maintain good vendor relationships, resolve invoice discrepancies and other matters that may require follow up.
Ø Maintaining a professional and clean environment; well organized reception area.
Ø Copy, scan, fax, and email invoices/customer statements and supporting documentation.
Ø Order office company and event supplies.
Ø Liaison partner between Eurofase and UPS/courier service delivery company.
Ø Monitor absence/attendance or main departmental email and respond accordingly.
Ø Perform accounting tasks under general supervision to ensure accurate and timely completion of work.
Ø Ensure compliance with established internal control procedures by examining records, reports, operating practices, and documentation.
Ø Order coffee/tea supplies for office machine.
Ø Maintain and monitor showroom visit schedule and book appointments.
Ø Assist with order overflow or customer care data entry when needed.
Ø Print daily reports for CEO.
Ø Perform ad-hoc administrative duties.
KNOWLEDGE / SKILLS & EXPERIENCE REQUIREMENTS:
Ø Requires 1-2 years of progressive administrative experience
Ø College diploma preferred
Ø Strong multi-tasking and prioritizing with time management abilities
Ø Must be highly motivated and inspire others
Ø Projects the highest levels of integrity
Ø Excellent customer service skills
Ø Attention to detail
Ø Strong organizational skills with a results-oriented mindset
Ø Demonstrated written and verbal communication skills
Ø Use of various software applications, such as Microsoft Office, Adobe and/or software packages to assemble, manipulate and/or format data and/or reports
Ø Knowledge of switchboards especially Norstar equipment
