Job Summary:

This role will be critical in helping ensure areas of reception and mailroom are fulfilled to successfully deliver on our service commitments in a timely and effective manner. This position may also provide back up support for copy, hospitality, and conference services.

Essential Job Responsibilities

• Work closely with the client’s staff to assist with front office functions
• Ensure seamless day to day operations as the clients first line of contact for end users and guests
• Provide unique memorable experiences for the client and their visitors utilizing a high energy, welcoming approach to include the following characteristics:

• Answer incoming telephone calls and forward to the appropriate person
• Assistance and guidance with the sign in process for clients, vendors, contractors, family, and friends
• Promptly greet and announce visitors in a friendly and business-like manner
• Act as the lobby ambassador for all guests and end users
• Monitor and maintain establish security protocols with regards to end user and guest access
• Maintain a neat and organized reception desk and front lobby area
• Order and stock supplies, waters and snacks for clients as needed
• Sort, organize, scan, and distribute incoming mail to client multiple times per day
• Perform other administrative duties as requested
• Conduct office tours and provide location assistance as needed
• Process Envoy invitations and email invites for guests

Qualifications & Characteristics

• Minimum of 1 year work experience as a Receptionist or front desk personnel
• Previous experience in a client service/client facing field preferred
• Mailroom experience preferred
• High school diploma or equivalent
• Ability to manage multiple tasks
• Detail oriented with a knack for exceptional quality of service
• Ability to handle complaints with professionalism, patience, and diplomacy
• Ability to quickly and effectively learn instructions and apply necessary skills
• Exceptional communicator (verbal and written) with great organizational skills
• Working knowledge of Apple products and software systems
• Proficient in Google docs and sheets
