We are hiring up to one (1) Full-Time Temporary position for up to 11 months working out of Edmonton, AB.
EPCOR has an exciting opportunity for a customer-focused and collaborative Distribution Operations Administrative Assistant. The Administrative Assistant is accountable for supporting the Senior Manager of Distribution Operations, the Distribution Operations management team and Hugh J. Bolton Service Centre (HJBSC) operations employees. This position provides all regular administrative services such as work order creation to HJBSC operations employees as well as planning and coordinating all Distribution Operations and HJBSC events; including making external bookings and making budget conscious decisions. The Distribution Operations Administrative Assistant must also be a general go-to expert for resolution of any internal EPCOR processes or HJBSC issues. This position is expected to take initiative, execute problem solving skills, and manage priorities and tasks to ensure the large volume of tasks are appropriately prioritized and executed according to priority.
What you’d be responsible for
Supporting the Senior Manager of Distribution Operations including calendar management, day to day assistance and planned events.
Creating, tracking and billing work orders for the various field crews. Understanding different kinds of billable and non-billable work that Distribution Operation completes.
Arranging, attending and keeping notes for safety meetings for the crews. This includes maintaining attendance, composing agenda and tracking action items for each crew’s meeting.
Taking bookings and dispatching cranes for the various crews throughout Distribution.
Developing and implementing assigned deliverables as outlined on the business plan including team building events, community volunteering and milestone awards every year.
Maintaining and ensuring action is taken on confidential monthly operational reports, manager action items, yearly business planning.
Coordinating and instructing service providers regarding photocopier repairs, janitorial services, courier services, security, telephone and internet, for Distribution Operations.
Organizing estimates and pre-pay payments from customers for high load and line protection projects.
Submitting payments to Treasury and Finance for processing.
Preparing and submitting requisitions through iProcurement. Assisting with managing purchase orders by completing vendor allocations.
Investigating and resolving issues using their judgment resolution with EPCOR internal processes and HJBSC facilities.
Site designer/developer/owner for Distribution Operations SharePoint sites. This includes designing and developing the sites to be functional, user friendly, and engaging to staff, and the ongoing structure, content and permissions management.
Providing administrative support to Distribution Operations and Capital Construction.
Anticipating and maintaining an inventory of office supplies and materials in a cost effective “just in time” manner.
Managing all TSR/facility requests for new employees and consultants, office staff relocations, security and remote access and computer equipment for Distribution Operations employees.
Training, assisting or providing coverage to their counterparts in other departments.
What’s required to be successful
A high School diploma or equivalent is required
A two-year post-secondary diploma in a business administration is considered an asset
A minimum of 5 years of related office experience is required
Full understanding and use of Microsoft office including Word, Excel, Outlook, SharePoint and PowerPoint
Advanced skills and knowledge in SharePoint site design
Basic knowledge of Electricity Operations Distribution System
Ability to work independently
Ability to problem solve, identify issues, understand internal EPCOR processes, and investigate and resolve issues by working through process and coordinating and communicating with other areas
Able to develop systems to organize workflow, assure quality and provide timely services
Ability to coordinate multiple, competing priorities
Experience with SharePoint as a site designer/administrator/owner
Manage multiple conflicting priorities and meet deadlines
Strong communication and written skills
Advanced working knowledge with Microsoft SharePoint, Geofit, IVARA, Oracle, and MS Office software, including Excel, Word, Outlook, Visio
