Administrative Assistant
The will Administrative Assistant will support the business by providing quality administrative work at the request of the Demo Operations Manager focusing on specific tasks for the demo administration. The person that will be successful in this role will be highly organized, detail oriented, have strong communication skills, will be able to follow through and prioritize in a fast-paced environment. Produce ad-hoc analysis and reporting as needed. Analyze vendor spend data to provide guidance on pricing negotiations and cost reductions.
Responsibilities
Serve as the first person of contact for Promoters and Regional Managers.
Collect new hire documents and upload files to secure database.
Assist with entering employee data into the Payroll System (ADP) as needed and enter in monthly bonus payouts.
Maintain new hire list in demo schedules.
Assist with I-9 record retention.
Store termination letters maintain separation paperwork on secure database.
Manage the overall compliance form process by creating employee lists, sending forms through paperwork platform, reconciling discrepancies, and following up as needed.
Review weekly compliance call report, keep track of logs and deliver weekly participation reports.
Assist regional managers with employee related issues as needed.
Provide general administrative support to the Demo Operations Manager and CEO.
Develop/Distribute employee reports as needed on a weekly and monthly basis.
Provide analysis and financial support that aligns with company objectives to department heads.
Manage special projects and tasks as requested.
Requirements
Bachelor’s degree, or equivalent education and experience required
ADP Workforce Now is a plus
General knowledge of accounting/finance
Excel savvy
Strong attention to detail and ability to solve problems.
Ability to multi-task, prioritize and balance multiple projects at one time under tight deadlines.
Must show discretion in a highly confidential setting.
Willingness to be flexible with tasks and assignments, pitching in as needed to meet the needs of the business.
