We need some assistance in maintaining our accounting and books.

The ideal candidate will work on site with their own flexible schedule to get all tasks accomplished for the week. Work 9 hours once a week. Work 2 hour days five days a week. Work two 5 hour days weekly.

We use Xero for accounting, Google Sheets for spreadsheet management and reporting, and a number of web-based apps.

Responsibilities

• Entering and reconciling all financial records into our accounting software, using correct chart of accounts

• Entering and scanning invoices, and paying bills

• Maintaining the approved vendor database (and reconciling this with Xero)

• Reconciling banking, credit card, and non-bank accounts (Credit Card Merchant Accounts, Line of Credit, other AR) monthly

• For Pharmacy transactions: Entering and reconciling insurance/third party deposits (via check or direct deposit), then marking direct payments in Third Party Station

• Proper financial recordkeeping, including invoices and statements (properly named and filed electronically)

• Coding and/or reporting for Lines of Service: Pharmacy vs Wellness

• Performing payroll (simple entering of hours for each employee into our payroll software)

• Generating reports from various sources and compiling the data within Google Sheets (therefore must be VERY familiar with working in Excel and reporting)

Requirements

• Must be excellent with web-based software, as our accounting software is Xero and all invoices are scanned and stored in Google Drive.
• IMPORTANT: We can train you in Hubdoc and our workflow, but we cannot train you in use of Xero.
• This will be an onsite role with a flexible schedule.

Schedule and Availability

• The initial 2-4 weeks will be a ramp-up period which includes training and transitioning from the current remote bookkeeper. We are requesting more availability for the first 2-4 weeks (20-30 hours a week).
• Expanded hours and responsibilities as success is found with the role, if desired.

Pay: $25.00 per hour
