ABOUT YOU

• You’re organized, reliable and prefer to be over (not under) prepared.
• You’re coachable, curious (good question!) and can think on your feet.
• Your communication skills are excellent. You like to over (not under) communicate what’s going on with the team and with those outside the company you interact with.
• You’re intelligent. We’re a clever bunch so you need to keep up.
• You have a strong work ethic and are flexible. Irregular hours from time to time don’t bother you.
• You are looking for a flexible work environment that serves your lifestyle (family, kids, travel!).
• You have a minimum of 3 years experience as an EA, however 5-10 years is ideal.
• You like to solve problems before they even get to the founder’s awareness. Reducing his ‘to-do’ list is what you do with your eyes closed (and love it!).
• You’re resourceful – nothing is too small for you to do or too big for you to find a solution for (whether on your own or with others help).
• You’re great with technology. You’re familiar with tools like Slack, Zoom, Clickup & more (or are a fast learner if not).
• You prefer to know the successful outcome and find your own way there – you can take instruction but you don’t need (or want) to be micromanaged.
• You’re great at following proven processes while thinking critically about where they can be improved.
• Identify a gap to do something in a better way? You show initiative and blaze a path! (you prefer to seek forgiveness, than always ask for permission).
• If you do something more than once, you immediately want to turn it into a system, document or written/visual/video process.
• You’re a big fan of personal development. You’re constantly working to improve yourself.

ABOUT THE ROLE

This role is primarily working alongside the founder at the intersection of EXEC ASSISTANCE meets OPS SUPPORT.

Your job will primarily be about bringing order to the chaos that is our founder’s day-to-day and supporting our team with operational logistics.

From protecting his calendar, to managing and representing him in his inbox, to organizing his personal world – your job will be to bring swiss-like precision to the many moving parts of the founder’s personal and professional world – while aiming to be 3 moves ahead at all times.

Ultimately, your vital activity is to keep him and our team highly focused on theirs – so they can focus on growth and improving the client experience.

While this isn’t a management role, it has the opportunity to progress into operations management or even general management over time – depending on your competency, team fit and the value you bring to the business over time.

YOU WILL BE RESPONSIBLE FOR

On a daily or weekly basis you will be responsible for things like…

• Ensuring the founder’s inbox is at inbox zero daily and all messages have been responded to, appropriately filed or delegated within 24 hours.
• Responding to client requests in the inbox leaving them feeling appreciated, heard and understood (even when it’s not what they wanted to hear).
• Delegating function specific emails and tasks to the relevant team member.
• Streamlining and managing the founder’s calendar, ensuring he shows up where he needs to be and has ample time for focusing on strategic growth.
• Eliminating non essential tasks from the founder’s task list and appropriately delegating to other team members or completing yourself.
• Organizing travel for the founder and his family, ensuring it runs smoothly from beginning to end (without avoidable surprises!).
• Coordinating logistics with the operations team – including calling suppliers, gathering quotes, assessing options and working with the operations team to support with anything they need.
• Helping to organize, book and coordinate physical prospecting events in target geographies – from booking venues to coordinating speakers and general event logistics.
• Keeping the team on track their task lists and ensuring our task management software accurately represents the high value activities everyone should be focused on at any one time.
• Ultimately, you will ensure we (and the business) runs like clockwork!
