Job Summary
The Scheduling Specialist (SS) is responsible for maximizing time for all families and therapists. The SS is the critical bridge between families and therapists. The Specialist ensures that the therapists are working as full a caseload as possible, and in an efficient way. To do so, the SS monitors where and when therapists are providing services. Additionally, the SS tracks availability and assigns cases swiftly and efficiently, thereby ensuring families get the therapy they need. The SS tracks clients’ authorized hours and cancellations to ensure clients are receiving the full amount of therapy for which they are authorized.
Duties and Responsibilities
· Monitor and track progress toward fulfilment of clients’ authorized hours, and ensure that enough therapy is scheduled and performed to fulfill clients’ authorized hours
· Monitor and track cancellations of sessions, including rescheduling of sessions to make up for cancellations.
· Take remedial actions if necessary, to respond to excessive cancellations
· Design and process weekly s on cancellations, progress toward clients’ authorized totals, and therapists’ productivity.
· Assign therapists new cases or existing clients needing additional services.
· Track therapists’ schedules, ensuring they are updated, to identify available therapists, those needing more work, and geographic availabilities.
· Provide feedback to administrative team regarding staffing deficits in staffing for hiring purposes.
· Work with therapists to provide additional work if requested.
· Meet clients continued scheduling needs to ensure therapy is delivered in a comprehensive and timely manner
· Adhere to Cultivate Behavioral Management Corp policies and procedures
· Perform other duties as assigned
Qualifications
· High School diploma or associate degree in business administration or related field
· 1 to 3+ years of experience as a Scheduling Specialist
· Experience in a high growth and fast paced environments
Knowledge, Skills and Abilities
· Advanced level skills in the use of the Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook eMail and Calendar
· Demonstrate excellent organizational abilities in order to keep track of the availability of therapists and how many hours clients are receiving in relation to their authorized totals.
· Strong communications skills including responsiveness and clarity, in order to assist therapists and families, including the ability to assign cases when required.
· Detail oriented and deadline driven
· Proven ability to work and collaborate with other team members and to maintain a positive attitude
· Ability to successfully complete required background and drug screens

Pay: $21.00 – $23.00 per hour
