We are looking for administrative assistant to become an integral member of our team, who will play a key role in the administrative team for fire services to the County of Grande Prairie No.1. We are looking for an outgoing, creative and energetic individual with exceptional customer service and leadership skills, with knowledge of, and experience in working with the community. We require someone who is able to engage and interact in a positive way, with a large and diverse group of people with varying needs in emergent and non-emergent matters. We require a high level of ethics combined with compassion and a sense of humor from a person able to deal with the stresses of essential emergency services. Responsibilities include providing a varied and challenging administrative support and coordination role for the Fire Admin Team and for Fire Committees – which includes tracking, monitoring, co-ordination, follow-up, and ing as well as meeting management, agendas and minutes. The position will be responsible for financial monitoring through data entry, tracking, preparation of s and variances and will assist with developing the budget and business plan. It will provide excellent front line customer service to the public and to other departments and agencies – which includes tracking customer service requests and follow-up. The position also includes project management responsibilities such as, but not limited to, Standard Operating Procedures, Quality Assurance, Commercial Vehicle Inspection (CVIP) program, Training Co-ordination, and Web Page Authoring
Knowledge Skills and abilities:
Previous experience providing administrative support to senior management
Exceptional organizational skills with the ability to prioritize tasks related to need
Fluent in the use of Office suite
Experience in budgeting and monitoring financial statements
Good interpersonal skills as well as excellence in the provision of customer service
Diploma in Office or Business Administration is an asset
Secondary graduation supplemented with post-secondary training in fire management; an asset
Experience working in a fire department-type environment with gradually increasing responsibility throughout that same environment; an asset
Experience working with learning management systems an asset
This position is 35 hours/week Monday – Friday with some flexibility and/or additional hours to attend meetings or meet operational needs.
