Position Summary / Purpose

Intake of initial of call from customer & insurance companies.

Provide support to management in the orchestration of administrative functions.

Help retain customers by exceeding their expectations through follow up contact with them and through the accurate performance of administrative tasks.

Principle Duties and Responsibilities

• Answer phones and handle incoming calls
• Type business correspondence
• Greet walk-in customers. Act as the gatekeeper for those seeking time with executives and managers
• Complete inner-office documentation
• Complete and track contracts, invoices, submittals, and estimates
• Secure client payments
• Record transactions in Quickbooks & digitalize documents
• Complete job costing on completed work
• Make deposits to company bank accounts
• Conduct follow-up phone calls to customers and collection calls on overdue invoices
• Assist with maintaining customer database and job files
• Make payments to vendors

Additional Duties and Responsibilities

• Weekly housekeeping of the office
• Run errands for administrators
• Maintain office inventory

Working Relationships and Scope

• Maintain timely communication and flow of information with technicians, service providers, estimators, and project managers
• Maintain timely creation of invoices and payables recording through effective flow of information, and receipts from operations to administration

Qualifications-Knowledge, Skills, and Abilities

• Education and Experience

High school diploma (or GED) plus two (2) years of office or bookkeeping experience. Minimum of one (1) year of customer service.

• Bookkeeping

Experience using bookkeeping software such as Quick Books.

• Mathematical Skills

Strong math and accounting skills. Ability to compute rate, ratio, and percentages and to interpret financial reports and analyze performance against business plans.

• Computer Skills

Demonstrates intermediate to advanced proficiency in the use of computers and computer software.
