Administrative Assistant – Job Profile
General
Community Futures Administrative Assistant is a key member of Community Futures client service team. The position offers a variety of duties supporting Community Futures’ Staff and Clients.
Hours of work: 35 hours per week Monday to Friday
Salary range: $36,400 to $45,500 per annum
Benefits: This position is eligible for full benefits including medical, dental, vision, extended health, life, and disability insurance.
Skills and Experience

At a minimum, applicants will be required to demonstrate strength in:
· Customer relations and communications.
· Computers, particularly Microsoft Office, Word and Excel.
· Numeracy and written communications.
· Reading comprehension.
· Organizing and multi-tasking on a variety of duties.
Related experience and/or post-secondary training in business / administration is an asset.
Duties
RECEPTION
The Administrative Assistant acts as the first point-of-contact for walk-in, telephone, and email enquiries. Duties include:
Client reception:
· Meet & greet clients and give out appropriate info packages.
· Answering telephone/emails, taking messages, referring calls, booking appointments.
Information provision:
· Answering general inquiries about CF programs.
· Providing hand-outs and website information to clients.
Phone messaging:
· Manage VOIP phone system.
· Keep all directories current.
MARKETING SUPPORT
The Administrative Assistant supports Community Futures Marketing Manager with a variety of marketing efforts including:
· Design marketing materials to help promote Community Futures programs.
· Post content to social pages.
· Update website with Client promotions and update out-of-date content.
· Create Client Promotions for New Business openings /Anniversary.
· Create imagery for all aspects of Community Futures programs including rack cards, business cards, posters/ flyers, website etc.
· Help organize events to promote Community Futures and its’ programs.
LOANS PROGRAM ADMINISTRATION
The Administrative Assistant supports Community Futures Loans Manager with administrative activities including:
· Entering, updating and maintenance of client and loan data into the client management system.
· Handling, organizing and distribution of loan documents.
· Pulling credit reports and performing inquiries as required.
· Registering, canceling, renewing and amending documents in various databases.
· Monitor and follow-up with loan clients in regard to information required as part of loan security – financials, insurance, etc.
STAFF AND BOARD SUPPORT
The Administrative Assistant provides Community Futures Staff and Board with general support including:
· Receive, date stamp and distribute mail.
· Complete mail-outs as assigned.
· Photocopying
· Maintain current contact information for Board, Staff, Clients.
· Maintain supply of stationery and office supplies in accordance with Purchasing Policy.
· Maintain photocopier, telephone system, etc.

Salary: $20.00-$25.00 per hour
