Job Description:
POSITION SUMMARY
The Career Services Specialist provides customer service to new and
continuing students, employers, faculty, staff, and campus
partners. The Career Services Specialist assists students in
regards to Career Services functions and assists them with general
advising-related questions.
The Specialist maintains communication with other student affairs
areas, Workforce Development, Talent Strategy, Partnerships and
Programs, and faculty and staff in order to facilitate the
consistent delivery of information and services; and refer students
to other departments and resources as appropriate.
ESSENTIAL FUNCTIONS OF THE JOB
Student Support
Works with students throughout the career services student
employment process. Counsels students regarding general career
services and academic advising questions, regularly interacts with
students, and follows up in person, by telephone, email, and by
chat to aid students in obtaining the appropriate support/services
needed. Interprets relevant policies, procedures and guidelines to
determine the best course of action.
Answers general inquiries regarding student employment, including
federal work-study and community partnerships. Participates in the
planning, coordinating, and implementing of recruitment and
advising activities designed to attract and enroll new
students.
Building Partnerships/ Partnership Support
Partners with various college department leadership, referring
employer partners to appropriate department(s) for further
assistance. Partners with IT in implementing technology, including
Starfish, Handshake, FOCUS II, and other Career Services and
Academic Advising-related systems.
Interprets and responds to employer, faculty, and staff inquiries
in person, via the telephone, and electronically regarding student
employment, community service opportunities, and general college
policies and procedures. Provides information on student
employment/community service processes to students, college
partners, and community partners. Serves as the initial point of
contact for external inquiries, including employer contacts
Clerical
Performs administrative and clerical support for the director and
department, including screening and handing telephone and email
communications, greeting and directing students, division
administrators, staff, faculty, and others needing assistance,
including parents and community visitors.
General duties may include scanning documents, distributing and
processing mail, updating and ordering admissions/registration
publications/forms, and various office supplies. Maintains the
confidentiality of student records and other information. Schedules
team meetings, workshops, and travel arrangements and coordinates
daily office activities.
Gathers, enters, and updates data to maintain departmental records
and databases as appropriate. Establishes and maintains files and
documents for the office, including student records and databases
for Career Services. Maintains confidential or sensitive record
information.
Office Administrative Support
Organizes and provides support for meetings and special events,
schedules and coordinates dates and time, venues, attendance,
agendas, and facilities. Takes minutes and provides administrative
support and follow-up on meetings.
Handles administrative problems and inquiries as appropriate.
Serves as the primary point of contact and liaison between the
office, students, and internal and external constituencies on
various day-to-day issues and activities. May lead and guide the
work of other support staff (i.e., student employees) as
appropriate; facilitates communication of administrative activities
and workflow to departments and areas within Career Services.
Carries out and coordinates administrative activities associated
with Career Services, such as purchasing, contracts, and
administrative activities related to department and areas reporting
to the senior director. Oversees the day-to-day management of
supplies and equipment for the department, as appropriate.

OTHER DUTIES & RESPONSIBILITIES
Manages multiple assignments of varying complexity while meeting
federal and internal regulations and procedures, with the ability

Hours may include working outside of a normal workweek schedule as
needed.

PHYSICAL REQUIREMENTS
Reasonable accommodations may be made to enable individuals with

the employee regularly exhibits digital dexterity when entering
data into a computer. The employee regularly stands, walks, and
sits for extended periods of time. The employee converses verbally
with others in person and by telephone. Vision demands include
close, relatively detailed vision when focusing on a computer
screen. The employee occasionally lifts or exerts a force of up to
10 pounds when moving files, boxes, and other materials.
MINIMUM QUALIFICATIONS
A High School Diploma or GED with at least three (3) years of
progressively responsible clerical experience in the assigned
specialized function. Experience working in Higher Education is
preferred.
State Motor Vehicle Operator’s License or demonstrable ability to
gain access to work site(s).
