The Oak Institute for Human Rights at Colby College was established in 1998 by a generous grant from the Oak Foundation. Each year, it hosts an Oak human rights fellow to teach and conduct research while residing at the College. The Institute organizes lectures and other events centered around the fellow’s area of expertise. Reporting to the director of the Oak Institute for Human Rights, the assistant director of the Oak Institute will facilitate the on-campus experience of the Oak fellow, manage the program’s operations and communications, oversee all logistics of the Oak Institute’s symposia and events, and coordinate the annual search for the Oak fellow. We encourage inquiries from candidates who will contribute to the diversity of our College, including its cultural and ethnic diversity.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES :
Work alongside the director to manage the Institute’s operations, with specific responsibilities to include budget planning and maintenance, phone and email inquiries and requests, strategic development of processes and procedures, and the drafting/editing of reports and other documents
Manage all logistics related to the Oak fellow’s arrival, stay, and orientation to the campus and greater community, including but not limited to housing, transportation, family needs, visas, conference, and meeting travel planning, and on- and off-campus activities
Serve as the liaison between the Oak fellow, the College, and wider community
Coordinate logistics of Oak Institute lectures and/or any symposia and other events on campus and in the community
Manage all aspects of the annual search for the Oak fellow, including working with the Oak summer research assistant to build and refine the database of international contacts and to advertise the fellowship opportunity in appropriate journals and newsletters through direct mail, email, and applicable publications and professional organization communication channels
Network with human rights organizations to raise awareness about the mission of the Oak Institute and promote the fellowship opportunity, and Oak Institute partners like Fordham, and also work on creating links with organizations in Maine especially, organizing internships for students
Assist the director in organizing the Oak Institute reading group, the seminar, and in managing the Oak Institute student research organization as they develop reports on prospective fellows for the search committee
Provide organizational assistance to the Oak Institute selection committee as it reviews, interviews, and selects the Oak Institute fellow
Manage the Institute’s internship grant program, including promoting the opportunity to students, distributing and collecting applications, providing organizational assistance to the Oak Institute internship grant selection committee, notifying applicants of the outcome of their application, and help facilitate disbursement of funds
Build and manage all aspects of the Institute’s communications strategy, including but not limited to the website, social media channels, audio and video online library, news announcements, press strategy/relations, and constant contact email program
Supervise and guide the Oak student research assistant positions
Advise the Oak student committee in partnership with the director
Perform additional duties as assigned; duties, responsibilities, and activities may change at any time with or without notice
QUALIFICATIONS :
Bachelor’s degree or the equivalent in education and experience
1- 3 years of related work experience in higher education or non-profit organizations preferred
An appreciation of cultural differences with prior experience supporting international visitors in an academic setting preferred and commitment to the core values of liberal arts education
Experience working with faculty, staff, students, and volunteers
Demonstrated ability to multitask and be organized in a fast-paced working environment
Strong aptitude for collaborating with others
Excellent oral, written, and interpersonal communication skills, including strong relationship building skills
Proven event planning experience
Innovative approach to solving problems
Excellent organizational and project development skills
Must be flexible, show initiative, and have a results-driven philosophy
Attention to detail and accuracy are critical
Strong critical thinking and problem-solving skills
Ability to handle confidential information tactfully
Strong aptitude for collaborating with others
Demonstrated commitment to diversity, equity, and inclusion
Familiarity with database and web management software; Workday, WordPress and Filemaker Pro experience preferred
Understanding of budgeting procedures and practices
Ability to make an impact through work as a member of a team and diverse community
Valid driver’s license required and must meet the College’s Fleet Safety Policy requirements
KEY RELATIONSHIPS :
Reporting to the director of the Oak Institute, this position will have direct contact with other key faculty and staff members across campus and have significant interaction with students, faculty, staff, the public, international organizations, and the community.
WORKING CONDITIONS/PHYSICAL REQUIREMENTS :
General open office and campus environment. Position involves sitting, although frequent movement is necessary. Computer usage involving repetitive hand/wrist motion is also necessary. Some evening and weekend work required.
