Purpose of the Role

We are seeking a proactive HR assistant to support the HR team with the HR administration work that¿s required to ensure a best in class HR service is provided.

Work will include managing absences, issuing terms and conditions, running reports, updating our HR system, Covid related tasks, processing leavers amongst every other area of HR support that you can imagine. You will work within a team to ensure that you deliver a first-rate HR administration service.

The role will work closely with Payroll, Operational HR and other key stakeholders to support the delivery of first line queries, ensuring service excellence, timely responses and going above and beyond for the customer.

Key Areas of Responsibility & Accountability

• First line support for all HR queries via phone, email & face to face. Working on a rotational basis, you will manage the generic email box and post. Responding to all queries, feeding back to customers and when necessary logging requests for the team to action. High level process and HR administration knowledge is essential as this will ensure a good customer service and consistent approach to the business.

• Accurate control and maintenance of all HR owned information technology systems. The HR Team is responsible for our HR Information System (HRIS). This must be maintained in a timely manner and has to remain up to date and accurate at all times as this is the master data file for all employees. Data analysis and reporting on this data can be required, therefore IT literacy is essential.

• Support HR colleagues with project work (TUPE, reorganisations and system support) with mass communications, reward queries (like P11D and pension), maintenance of associated HRIS and data cleanses

• Continually work on improving processes applying a continuous improvement ethos to ultimately increase customer satisfaction

• Ensure effective delivery of all internal HR administration processes including contract preparation, processing BPSS checks, new starters, probation periods, transfers, MFA triggers, terminations, inductions, and HR data management.

• Support the company’s attendance management procedure via proactive management of sickness, i.e. chasing of certificates; identifying trends, ensuring that relevant return to work interview paperwork is retained, monitoring long term sickness, referrals to OHS etc.

• Assist with the recruitment process including advertising vacancies on the Colas Rail website and fully utilizing external job boards as appropriate

• Managing HR case work as needed including investigations, disciplinaries and long-term absence management

As you will expect the organisation may change from time to time and you will be expected to meet the operational requirements including fulfilling any other reasonable duties as required.

Person Specification

• Previous experience of working in a fast paced, results orientated HR Service
• Experience of working in an HR environment whereby volumes are high, and multitasking is required
• Previous experience of HR Systems (CoreHR experience is preferable)
• Good attention to detail
• Previous experience of Managing HR case work is desirable

Qualifications / Experience

• Relevant HR or business qualification
• Excellent communication skills, both written and verbal
• Ability to prioritise work, and achieve deadlines
• Excellent attention to detail and organisational skills
• Team player with an ability to work on own initiative
• Customer focused
• Highly proficient user of Microsoft Office, especially Word and Excel
• Experience of using HR systems/payroll
• Basic understanding of HR practices/employment legislation
