Main Purpose and Function
The Office Support Clerk III Provides administrative support of moderate complexity for the Clerk III’s and Superintendents. This position also provides routine vacation coverage, as required.
Specific Duties/Responsibilities
The Office Support Clerk III prepares and processes various forms and documents including work orders, invoices and related materials; review forms submitted for accuracy, appropriate authorization and compliance with applicable policies or regulations; assigns appropriate account codes; corrects or follows up on noted discrepancies; prepares payment vouchers on approved invoices and payment voucher corrections, as required; may prepare journal voucher corrections as required.
The Office Support Clerk III acts as a primary contact and support for the Superintendents of Connections, Construction and Equipment; makes and cancels appointments, processes confidential matters and arranges meetings; composes non-routine correspondence; compiles, types and distributes committee agendas or permit packages; acts as a recording secretary at meetings as required; opens, sorts and reads incoming correspondence.
This Office Support Clerk III establishes and maintains effective working relationships with a variety of internal and external contacts and provides information and assistance as required. Other duties/responsibilities as assigned.
Minimum Position Requirements
Education and Experience:
Completion of Grade 12, preferably supplemented by additional education and training in business, communications, adult education, or other related fields
Considerable experience, preferably in a learning/training environment, which required the providing of a wide range of customer service functions & moderately complex clerical work
Knowledge, Skills and Abilities:
Considerable knowledge of modern office practices and procedures.
Experience with Hansen, Posse, VanMap, SAP and other asset management software is an asset.
Thorough knowledge of business English, grammar, spelling, punctuation and arithmetic.
Ability to deal effectively with the public and other staff by providing information and assistance which may involve making decisions requiring explanation of applicable rules and regulations.
Proficiency in software programs including Microsoft Office (Outlook, Word, Excel).
Ability to work independently and take action in solving problems while exhibiting sound judgment.
Ability to work as an effective team member with other staff.
Ability to communicate effectively both orally and in writing and to prepare non-routine reports, correspondence and memoranda related to the work.
Good attendance is of operational importance.
