Main Purpose & Function
Reporting to the Assistant Manager of Business Operations at Mountain View Cemetery, this position deals directly with the public and external providers and assists other office staff in a range of cemetery functions related to record keeping, research and customer service. The Cemetery Support Clerk performs a variety of reception, clerical and administrative duties at Mountain View Cemetery. The primary function of this position is receiving, responding to and referring initial client contacts by phone, email and in-person. This position responds to routine inquiries, directs complex matters to the appropriate colleague and assists in the collection, validation and updating of various cemetery forms and records.
Specific Duties & Responsibilities
Receives most initial contacts with clients via phone, email or in-person at the office.
Performs routine and varied clerical and administrative work related to all aspects of the provision of cemetery services.
Responds to public inquiries related to the use of grave space including cemetery rules and bylaws governing the use of cemetery space.
Assists Clerk III’s in collecting, validating, recording and coordinating arrangements for interments, the sale of space, marker installations and other cemetery services
Maintains, appends and corrects both electronic and manual cemetery records
Performs genealogy and other moderately complex research for customers.
Provides a range of data entry work including daily/weekly/monthly sales, marker applications/installations, and other routine historical record validation and updating.
Provides initial research and seeks confirmation from others on matters related to complex or ambiguous records
Manages various documents pertaining to the Cemetery and their employees.
Other duties/responsibilities as assigned.
Qualifications
Education and Experience:
Grade 12 supplemented by business-related courses and computer courses and sound related experience in customer service/reception, or an equivalent combination of training and experience.
Knowledge, Skills and Abilities:
Considerable knowledge of modern office practices and procedures
Thorough knowledge of business English, spelling, grammar and punctuation
Working knowledge of the rules and regulations which govern cemeteries.
Ability to meet and consult with people who are grieving and assist them in making decisions related to cemetery space, interment and memorialization
Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
Excellent interpersonal and communication skills to deal tactfully and effectively with the public and staff
Strong capacity and interest in attention to detail and data accuracy
Ability to meet and consult with people who are grieving
Ability to learn and to adapt to new computer systems and technology
Ability to maintain complex, detailed and accurate records and to compare multiple data sources and recognize inconsistencies
Ability to work independently as well as part of a team
Ability to work in a fast-paced environment with shifting priorities, demonstrated competency in decision making within established business practices and rules.
Ability to handle a heavy workload and provide exceptional customer experience.
Ability to communicate effectively both orally and in writing and to prepare non-routine reports, correspondence and memoranda related to the work.
Ability to build and maintain effective working relationships with co-workers and outside service providers is essential.
Ability to adapt quickly to varying assignments and frequent interruptions
