EXAMPLE OF DUTIES
The duties listed are intended only as Illustrative examples of the various types of work that may be performed by individuals in this classification. Any of the following duties may be performed. These examples are not necessarily performed by all incumbents and do not include all specific essential functions and responsibilities the incumbent may be expected to perform.Responsible for timelines, workflow, accuracy, and resolving customer conflict/dissatisfied customers. Receives and processes utility payments and other revenue payments. Prepares daily banking deposits, posts lock box payments, and posts online web payments. Assists in maintaining a daily cash balance and balancing cash on hand against receipts. Responds to inquiries from title companies regarding city liens on properties and updates when closing date changes. Processes open and close requests for service forms.Problem solving / research customer concerns. Communication / team work with all city departments. Provides reception services at city hall by answering telephone, fax machine, and personal inquiries. Participates in recommended trainings and staff meetings.Issues excavation permits and burn barrel permits.Responsible for meeting cross training goals.Assists in the maintenance of records and files. Assist in the preparation of the budget and comprehensive annual financial report documentsAssists in reconciling general ledger to various expenditure and revenue reports.Handle other bookkeeping and accounting functions when required.Provides clerical support to other finance staff as required.Tracks / accounting for projects throughout city departmentsComposes, types, and edits a variety of correspondence, reports, memoranda, and other material requiring judgment as to content, accuracy, and completeness.Serves as a back up to other finance assistant positions.Other Duties as assigned
MINIMUM QUALIFICATIONS
EDUCATION AND EXPERIENCE: High school graduate or GED recipient. Two years college degree or course work in accounting, finance, or related field preferred. Prefer minimum of three years office experience working with the public and computerized accounting systems; or any equivalent combination of experience and training which demonstrates the ability to perform the above described duties. KNOWLEDGE, SKILLS AND ABILITIES: Knowledge of business English, spelling and arithmetic.Acceptable office practices, procedures and use of standard office machines.Bookkeeping principles and practices.Governmental accounting and practices.Computer data input procedures.Providing good customer service to public and co-workers.Accurate record keeping, organization and maintenance of City files.Researching, compiling and summarizing various informational materials.Preparing and understanding daily, periodic and special reports.Able to type at the rate of 40 words per minute.Make routine arithmetic computations and tabulations accurately and with reasonable speed.Learn assigned clerical tasks readily within a reasonable training period, and to adhere to prescribed departmental procedures.Establish and maintain effective working relationships with other city team members and the citizens of Prineville as well as general public.Understand and carry out oral and written instructions.Effective time management skills- adjust tasks to coordinate with available work schedules to meet utility deadlines and finance department priorities.Facilitates decision making regarding procedures/guidelines for daily business in correlation to city ordinances.Must multi-task extremely well, frequently changing tasks while maintaining good customer service & timely follow up.Must have strong conflict management/customer service skills to deal with a variety of customer concerns. SPECIAL REQUIREMENTS AND CERTIFICATIONS: Must be able to pass a criminal record and background investigation. The individual shall not pose a direct threat to the health or safety of the individual or others in the workplace.
SUPPLEMENTAL INFORMATION
This is a non-supervisory position. Lead work/coordination of the work of others is not a typical function assigned to this position. Incumbents in this position may provide training and orientation to newly assigned personnel.
